Admin Assistant Patient Engagement

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Admin Assistant Patient Engagement based in United States.

This role supports the smooth day-to-day administration of a healthcare practice while serving as an important point of contact for patients.
You’ll coordinate appointments, maintain accurate patient information, support payments and billing inquiries, and respond to patient needs with professionalism and empathy.
The position combines administrative organization with meaningful patient-facing responsibilities in a healthcare environment.
Strong attention to detail is essential when handling confidential records, insurance information, forms, and financial transactions.
You’ll work closely with clinicians, billing teams, and office staff to ensure patients receive timely and effective support.
The role is well suited to someone who can stay organized under pressure while delivering a compassionate and professional patient experience.
This is an evening-shift opportunity for a dependable team player who takes ownership of administrative accuracy and service quality.

Accountabilities
  • Schedule and coordinate patient appointments efficiently while helping optimize clinician availability.

  • Make appointment reminder calls, provide patients with necessary instructions, and communicate delays or expected waiting times.

  • Collect, verify, and update patient contact information, insurance details, addresses, and medical histories while maintaining confidentiality.

  • Assist patients with completing medical histories, consent forms, payment agreements, and other required documentation.

  • Process cash and credit card payments accurately and securely in accordance with established procedures.

  • Review patient accounts, identify overdue balances, and follow up with patients regarding outstanding payments.

  • Coordinate with billing teams to help resolve patient billing questions, insurance concerns, and account discrepancies.

  • Respond to patient inquiries and complaints promptly, professionally, and empathetically.

  • Investigate patient concerns, resolve issues when appropriate, and escalate matters to medical or supervisory staff when necessary.

  • Follow up with patients to confirm that concerns have been addressed and satisfactory resolutions have been provided.

  • Perform general administrative and clerical duties, including filing, document organization, supply management, and record maintenance.

  • Maintain accurate electronic and paper records while ensuring information remains accessible and appropriately protected.

  • Collaborate with clinicians, billing personnel, and administrative colleagues to support efficient daily operations.

  • Contribute to a positive patient experience by demonstrating professionalism, empathy, responsiveness, and attention to detail.

Requirements
  • High school diploma or equivalent required; an associate degree is preferred.

  • Previous experience in U.S. healthcare administration or U.S.-based customer service is advantageous.

  • Strong verbal and written communication skills, with the ability to interact professionally with patients and internal teams.

  • Excellent organizational and time-management abilities, including the capacity to manage appointments and multiple administrative priorities.

  • Strong attention to detail when handling patient records, financial transactions, insurance information, and other sensitive documentation.

  • Proficiency with Microsoft Office and healthcare management or practice-management software.

  • Ability to maintain strict confidentiality when handling patient and healthcare information.

  • Strong multitasking and prioritization skills, with the ability to remain accurate and composed in a busy environment.

  • Compassionate and empathetic approach to patient interactions, particularly when addressing concerns or sensitive situations.

  • Professional demeanor and customer-service mindset with a commitment to resolving issues effectively.

  • Ability to collaborate successfully with clinicians, billing teams, office staff, and other stakeholders.

  • Availability to work the scheduled evening shift from 4:45 PM to 2:00 AM.

  • Experience handling U.S.-based clients or patients is beneficial.
