Project Reporting & Governance Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Reporting & Governance Coordinator based in Canada.

This role is central to maintaining clear, accurate, and timely visibility across a complex project or program environment.
You will own key reporting and governance processes, bringing together information from multiple workstreams, releases, and stakeholders.
Your work will help leadership understand progress, risks, dependencies, decisions, and areas requiring attention.
You will create executive-ready reporting packs, dashboards, governance materials, and concise summaries from complex project information.
The role requires strong coordination skills and the ability to maintain reporting discipline across business, technical, and vendor teams.
Attention to detail, structured thinking, and excellent communication will be essential in managing recurring reporting cycles and governance forums.
This is a fully remote contract opportunity running from November 2026 through April 2027.

Accountabilities
  • Own and maintain the program's status reporting pack, ensuring information is accurate, consistent, complete, and delivered on schedule.

  • Consolidate, validate, and synthesize inputs from active releases, project workstreams, and stakeholder groups into clear executive-level reporting.

  • Support the development and maintenance of project plans, schedules, work breakdown structures, and key delivery milestones.

  • Coordinate project meetings, workshops, stakeholder engagements, and governance activities, ensuring actions and follow-ups are clearly documented and tracked.

  • Maintain comprehensive RAID logs covering risks, assumptions, issues, dependencies, owners, due dates, escalations, and mitigation actions.

  • Prepare status reports, dashboards, meeting minutes, presentations, and other governance materials to support leadership oversight and decision-making.

  • Own and maintain decision registers, ensuring decisions are accurately documented, communicated to relevant stakeholders, and followed through to completion.

  • Collaborate with business, technical, and vendor teams to collect required inputs, monitor deliverables, track progress, and maintain reporting discipline.

  • Identify emerging reporting gaps, inconsistencies, risks, or dependencies and escalate relevant concerns to the appropriate stakeholders.

  • Support effective governance by ensuring leadership forums have timely, reliable, and concise information to inform decisions.

Requirements
  • Demonstrated experience producing executive-level status reports by consolidating information from multiple sources into clear, accurate, and visually consistent reporting packages.

  • Hands-on experience managing RAID logs, including risks, assumptions, issues, dependencies, ownership, deadlines, escalation, and mitigation activities.

  • Experience maintaining decision registers and ensuring decisions are properly documented, communicated, and actioned.

  • Excellent written communication skills, with the ability to transform complex program information into concise, accessible, plain-language summaries.

  • Strong proficiency in Microsoft PowerPoint and Excel, with familiarity with Power BI or comparable reporting and visualization tools.

  • Strong attention to detail and a disciplined approach to recurring weekly reporting cycles and tight deadlines.

  • Proven stakeholder coordination skills, with the ability to obtain timely inputs and maintain accountability across business, technical, and vendor teams.

  • Strong organizational and prioritization abilities, with the confidence to manage multiple information streams and competing deadlines.

  • Ability to work independently while collaborating effectively with diverse project and stakeholder groups.

  • Excellent communication and interpersonal skills, particularly when coordinating information and follow-ups across multiple teams.

  • Reliability Status security clearance or higher is required at the time of application; eligibility for Secret clearance is preferred.
