We are seeking an experienced Export Coordinator to manage export shipments from booking through final documentation. This role is ideal for someone who is organized, service-focused, and comfortable coordinating with customers, carriers, agents, suppliers, and internal teams in a fast-paced freight forwarding environment.
What You'll Do- Coordinate shipments from booking through departure and final documentation.
- Prepare, review, and maintain accurate export documentation, including commercial invoices, packing lists, certificates of origin, and other shipment documents.
- File Electronic Export Information through AES accurately and within required timelines.
- Book cargo with carriers and coordinate schedules, cutoffs, delivery requirements, and customer deadlines.
- Serve as a primary point of contact for customers, suppliers, carriers, destination agents, and other service providers, providing timely shipment updates and resolving inquiries.
- Ensure export documentation and processes comply with applicable customs requirements, carrier requirements, and destination-country regulations.
- Coordinate with internal departments, carriers, truckers, customs brokers, and overseas agents to support the timely movement of cargo.
- Monitor shipment progress, identify potential delays or documentation issues, and communicate solutions proactively.
- Review shipment files for accuracy, completeness, and proper documentation before closing.
- Support process improvements that strengthen service, accuracy, communication, and operational efficiency.
- Previous ocean export coordination, freight forwarding, NVOCC, or international logistics experience.
- AES filing experience is required.
- Strong knowledge of ocean export documentation, customs procedures, carrier requirements, and international shipping processes.
- Excellent customer service, communication, and follow-up skills.
- Strong organization, attention to detail, problem-solving, and time-management skills.
- Ability to manage multiple shipments and changing priorities in a deadline-driven environment.
- Proficiency in Microsoft Office and freight forwarding or logistics management systems; CargoWise experience is strongly preferred.
- Bilingual English/Spanish communication skills are a plus.
- Associate's or Bachelor's degree in Business Administration, Logistics, International Trade, or a related field preferred; equivalent experience will be considered.
