Position Summary

The Medical Assistant is a key member of the healthcare team who supports physicians, advance practice providers, and other clinical staff in providing high- quality patient care.

Department Summary

Aultman Alliance Family Medicine of AOH is dedicated to providing high-quality patient centered healthcare services. The department works collaboratively with physicians, Advance practice providers, medical assistants and administrative staff to ensure we always provide efficient and compassionate care to our patients.

Reports directly to practice manager.

Qualifications

  • Graduate of an approved Medical Assisting Program.
  • Obtain and maintain medical assistant certification: (CCMA, CMA, or RMA).
  • Prior knowledge of medical practice, medical terminology and giving patient care, preferred.
  • Must adhere to office policy of yearly TB testing, OSHA and HIPAA training.
  • Obtain and maintain current American Heart Association (AHA) training in Basic Life Support(BLS) utilizing Resuscitation Quality Improvement (RQI) is required

Responsibilities & Expectations

  • Checks physician schedules frequently for any add-ons or updates.
  • Inspects patient’s medical record prior to visit to insure completeness as well as making sure the results of tests are available.
  • Rooms patients in a timely fashion making sure to identify patient and compare with chart. Obtains vital signs, height, weight, and current accurate list of medications and all pertinent information needed for the physician to assess the patient.
  • Performs EKG according to policy and protocol.
  • Refills prescriptions according to policy and protocol.
  • Correctly make arrangements for various tests to be done. This includes scheduling hospital procedures and out-patient tests. This includes precertification, authorizations, physician orders, communicating with the patient, and putting on physician schedule if appropriate.
  • Accurately completes medical forms and correctly completes and routes billing information to appropriate staff. (Example disability forms etc..)
  • Copies and releases medical records according to office procedures.
  • Documents properly and legally in patient’s chart.
  • Correctly educates patient for all testing and medications that are ordered.
  • Returns phone calls to patients by the end of the business day.
  • Notifies physician immediately of abnormal lab results.
  • Restocks and cleans exam rooms after use according to protocol.
  • Uses the EHR to accurately document and inform physicians of patient interactions.
  • Any other duties as assigned my Practice Coordinator or Manager

Department Responsibilities & Expectations

  • The medical assistant prepares patients for examination and treatment. Takes patients histories and vital signs and documents in the EMR.
  • Administers injections, assist the provider at times for examinations, and procedures.
  • Maintain exam rooms by stocking supplies, cleaning rooms between patients, end of day and as needed. Following office policy for cleaning and safety at all times.
  • Performs selected clinical and clerical duties.
  • The medical assistant prepares the charts in advance such as quality metrics, laboratory or diagnostic results performed since last visit or any recent hospital stays, etc. that may be important for their upcoming visit.
  • Assists with ordering tests, submitting referrals, and processing prescription refills.
  • Handles patient phone calls such as communicating test results from the provider to the patient or taking messages from a patient and sending to the appropriate provider to address timely.
  • Complies with all regulatory policies and procedures.
  • All other duties as assigned by the department
  • Provide compassionate, respectful and professional care to all patients, families and colleagues at all times.
  • Maintain patient confidentiality and comply with HIPPA regulations.
  • Demonstrate reliability, punctuality, and teamwork in daily responsibilities.
  • Exhibit strong communication and organizational skills in a fast-paced environment.
  • Participate in ongoing training, quality improvement, and keeping up with CMA/RMA and CPR license.
  • Adhere to all clinic policies, procedures and safety standards.

Working Conditions

  • Normally Monday through Friday with a lunch break daily. Lunch breaks are coordinated with other staff members for adequate coverage.
  • May require paid overtime before or after normal working hours.
  • Subject to frequent interruptions during performance of duties.

Category I - Includes tasks that involve exposure to blood, body fluids, or tissues. All procedures or other job-related tasks that involve an inherent potential for spills or splashes of, or mucous membrane or skin contact with blood, body fluids or tissues are Category I tasks. Use of appropriate protective measures is required for every employee engaged in Category I tasks.
