Job Description

SUMMARY

As the Global Project Manager you will be accountable for delivering an assigned portfolio of global studies to time, cost, and quality, acting as the day-to-day client point of contact for those studies. You will work closely with in-country delivery teams to plan, track, and drive study execution, applying the methodology, baselines, and KPIs and keeping study-level performance reporting accurate and current. This is a hands-on, operational project-management role.

KEY RESPONSIBILITIES

Study Delivery — Time, Cost & Quality

  • Manage assigned global studies end to end across start-up, recruitment, execution, and close-out

  • Maintain study timelines, budgets, and resource plans, tracking progress against approved baselines

  • Identify risks and issues early, propose mitigation and recovery actions, and escalate to the Global Study Delivery Lead where they exceed delegated authority

  • Monitor study budgets and variance, and support change-order and invoicing activity

Client Communication

  • Serve as the day-to-day client contact for assigned studies, with escalation support from the Global Study Delivery Lead

  • Prepare and deliver regular study status updates — progress, risks, variance, and recovery actions

  • Track client commitments and action items through to closure

  • Contribute to a consistently positive client experience that supports repeat work

Project-Management Practice

  • Apply Civia’s study delivery and project-management methodology, templates, and tools consistently

  • Maintain study plans, risk and issue logs, and decision records to the required standard

  • Run study kick-off, team, and client meetings with clear agendas, minutes, and actions

  • Follow up with internal functions to secure their contributions to study commitments

  • Support onboarding and informal mentoring of less experienced delivery colleagues

In-Country & Cross-Functional Coordination

  • Work day to day with in-country delivery teams to align on priorities, timelines, and responsibilities for each assigned study

  • Coordinate Site Operations, Recruitment, Regulatory, Data, Quality, and Safety input to deliver each study to plan

  • Prepare for and take part in study-level delivery reviews, driving timely resolution of bottlenecks

  • Make sure each country team and function knows what it owns, and by when, on assigned studies

  • Escalate constructively when delivery performance deviates from plan

Planning, Tracking & Reporting

  • Build and maintain study plans in line with Civia’s delivery methodology

  • Set up and maintain study baselines and forecasts using the agreed models

  • Track and report study KPIs using the established KPI framework

  • Keep study data in CRIO, HubSpot, Monday.com, and related systems accurate and current

  • Provide feedback on methodology, templates, and tools based on study experience

Quality, Risk & Continuous Improvement

  • Follow the governance routines and performance cadence set for the portfolio

  • Maintain audit and inspection readiness on assigned studies

  • Implement corrective and preventive actions on assigned studies and track them to closure

  • Capture lessons learned at study milestones and close-out, and share them with the delivery team

Education and Experience:

Required Experience

  • 5–8 years of clinical research experience, including at least 3 years managing clinical trials (global or multi-country preferred)

  • B.S. or B.A.; science-related degree preferred. Project-management certification (e.g. PMP, PRINCE2) advantageous.

  • Track record of delivering studies to time, cost, and quality

  • Working knowledge of project-management methods and tools

  • Sound understanding of ICH-GCP, GDPR, and relevant regulatory requirements

  • Good analytical and financial skills — able to manage study budgets, forecasts, and KPIs

  • Experience with CRIO, HubSpot, and Monday.com, or comparable platforms
