Role Overview

As Events Coordinator, you will play an important role in the planning and execution of Evo and RTS live events globally. You will work closely with the Events Manager and VP of Operations to determine your role across events of varying scales and complexity. For larger flagship events like Evo Las Vegas, you may have a specific on-site role and assist across various tasks. For smaller-scale events, you may take full ownership of the end-to end planning for a functional area.

This role is ideal for someone who thrives in both strategic planning and hands-on execution, can operate independently, and can manage client groups, details, and production timelines effectively. You will collaborate with internal teams including marketing, partnerships, content, and broadcast, as well as external agencies and contractors.

Reporting Structure

You will report to the Events Manager

Key ResponsibilitiesEvent Planning & Strategy
  • Develop scalable frameworks that can be adapted to multiple events
  • Align event operations with overall business goals and attendee experience priorities
Event Management & Execution
Lead or support operations planning across categories depending on event scale:
  • Event Registration & Credential Distribution:
    • Attendee Management: Work with 3rd party attendee management system vendor to collect and manage multiple sources of attendee data for Credential Pick Up
      • Create data collection process for vendors, exhibitors and partners
      • Work with competition registration vendor / ticketing system vendor to ensure data is collected as needed
      • Work with authorized third party ticket resale vendors
    • Credential Pick Up: Work with Credential Pick Up vendor to effectively distribute on-site event credentials as well as pre-sale merchandise and partner or event materials
      • Lead the Priority Desk for non-ticketed attendees and VIPs
      • Manage the Help Queue
      • Create proper documentation flow and train staff at the Desk for distribution and credential / ticket issue resolution
  • Catering and Concessions:
    • Manage event catering vendors, internal catered staff meal need, partners and third party needs as requested
    • Concession vendors and food sponsor integrations and sampling
If traveling to an event for on-site execution, lead or support depending on event scale:
  • Event Office: Oversee and manage set up of primary event operations office
    • Prep and distribute of items such as credentials, wristbands, event materials and more for internal teams
  • Support category lead in functions such as:
    • Competition (Bracketology)
    • Ticketing
    • Event Information Booth
Budget & Reporting
  • Manage specific line items within event budgets
  • Track invoices and vendor payments in collaboration with finance
  • Identify opportunities to streamline costs and improve efficiency
Qualifications
  • 1+ years of experience in live event operations, preferably within gaming, esports, or entertainment
  • Demonstrated success owning projects of varying scale
  • Strategic thinker who can also manage on-the-ground execution
  • Proficient in event management and productivity tools (e.g., Excel, Google Drive Suite)
  • Excellent communication, negotiation, and leadership skills
  • Able to work autonomously and within cross-functional teams
  • A sense of ownership and accountability even when working remotely
  • Willingness to travel domestically and internationally as required
Compensation

The salary for this role is $65,000 to $85,000, based on experience and qualifications.
