Job Description

We are seeking a knowledgeable and detail-oriented Temporary Payroll Tax Specialist to support our payroll department with quarterly payroll taxes, multi-state tax compliance, and unemployment administration. This role will work closely with payroll, HR, and accounting teams to ensure accurate reporting, timely filings, and full compliance with federal, state, and local regulations.

The ideal candidate has hands-on payroll tax experience, a strong understanding of multi-state payroll requirements, and the ability to manage unemployment-related processes with accuracy and discretion.

Key Responsibilities

Payroll Taxes & Reporting

  • Assist with preparation, review, and reconciliation of quarterly payroll tax filings (federal, state, and local).
  • Support year-round payroll tax compliance, including adjustments, corrections, and amendments as needed.
  • Review payroll tax data for accuracy and resolve discrepancies prior to filing deadlines.
  • Assist with year-end tax processes, including W‑2 reconciliation and corrections.

Multi-State Payroll Tax Compliance

  • Manage and support multi-state payroll tax requirements, including proper withholding, jurisdiction setup, and compliance.
  • Maintain accurate state and local tax configurations within the payroll system.
  • Monitor changes to state and local payroll tax laws and assist with implementation.

Unemployment Administration

  • Support unemployment insurance processes, including responding to claims, providing wage and payroll documentation, and tracking claim status.
  • Assist with unemployment audits, notices, and rate management.
  • Ensure timely and accurate reporting related to unemployment insurance requirements.

Compliance & Audit Support

  • Ensure payroll tax and unemployment processes comply with federal, state, and local regulations.
  • Assist with internal and external audits related to payroll tax and compliance.
  • Maintain accurate documentation and records for compliance and reporting purposes.

Qualifications & Requirements

  • High school diploma or GED required; Associate’s or Bachelor’s degree in Accounting, Finance, Business Administration, or related field preferred.
  • 3–5+ years of experience in payroll tax, compliance, or payroll administration.
  • Strong knowledge of quarterly payroll taxes, multi-state taxation, and unemployment insurance processes.
  • Experience working with payroll systems (ADP strongly preferred).
  • Understanding of federal, state, and local payroll tax regulations.
  • Strong attention to detail and analytical skills.
  • Proficiency in Microsoft Excel and payroll reporting.
  • Ability to handle confidential information with professionalism and discretion.
  • Strong organizational skills and ability to meet strict filing deadlines.
  • Effective written and verbal communication skills.
