About This Position

Job Summary:

The AR Specialist provides support to Accounting Manager, or Controller, by performing various accounting tasks which include the following: accounts receivable, account reconciliations, journal entries preparation, and providing supporting documentation for financial audits. Provides support in collection efforts for all accounts receivables.

Key Responsibilities:

  • Issue customer invoices and non-customer invoices
  • Issue credit and debit memos
  • Handle rebate(s) for customers (i.e. accruals, credits, debits, check payments)
  • Enter cash receipts
  • Collections of receivables, communicating directly with customers to expedite collection
  • Investigate, resolve and follow-up with customer regarding billing and payment issues
  • Work with sales group on resolving accounts receivable issues (e.g. pricing, delinquency, orders, inventory, etc.), when necessary
  • Assist customer service personnel in resolving issues on customer complaints, shipping, inventory, etc.
  • Set up new customers in SyteLine, as well as revise information on existing customers, if needed
  • Request credit app from potential new customer by Sales
  • Send credit requests to trade references for new customers
  • Request D&B credit report on new customers, or existing customers if needed
  • Work with Sales to determine credit limits
  • Complete and send out New Customer Approval Form for approvals.
  • Enter pricing for new and existing customers (when price changes occur)
  • Reconciliation of A/R Account
  • Complete and send out DSO Report monthly
  • Run monthly statements and send to customer
  • Provide data and support to external financial audits
  • Send out balance confirmation requests, annually.
  • Annual review of credit limits with GM Sales & Business Development and VP of Finance & Accounting.
  • Maintains filing of all account receivables documents
  • Maintain and update the fixed asset subledger, including additions, disposals, transfers, and asset reclassifications.
  • Process monthly depreciation runs in accordance with company policy and accounting standards.
  • Track Construction-in-Progress (CIP), ensuring timely capitalization and proper documentation.
  • Coordinate periodic and annual physical asset counts; investigate discrepancies and ensure resolution.
  • Prepare monthly fixed asset roll-forwards, reconciliations, and supporting schedules for financial close.

Job Requirements and Qualifications:

  • Bachelor’s degree in accounting, Finance, or related field
  • 2-5 years of experience in accounting with exposure to both AP and fixed asset functions preferred.
  • Experience with ERP systems (Infor, SAP, Oracle, etc.)
  • Experience supporting audits and month-end closure.
  • Possess strong verbal communication skills to discuss issues & resolve problems within their domain, throughout all levels of organization and externally (i.e., customers, auditors)
  • Writing skills to write effective e-mails and memos.
  • Obtaining cooperation (internally and/or externally) is an important part of the job.
  • Strong proficiency in Excel (pivot tables, VLOOKUP/XLOOKUP, formulas).
  • Working knowledge of MS Word.
  • Detail oriented, analytical and strong organization skills.
  • Understanding of AR processes, credit risk, and asset accounting principles.
  • Knowledge of depreciation methods and asset lifecycle management.
