This job reports to Superintendent

- Compiles data from a variety of sources for the purpose of complying with financial, legal and/or administrative requirements.
- Coordinates a variety of activities on behalf of the Superintendent and Board for the purpose of ensuring availability of facilities, equipment and/or accommodations and delivering services in compliance with established guidelines.
- Coordinates with external partner organizations and agencies for the purpose of scheduling and supporting meetings and events.
- Embodies the principles and practices that form our culture and commitment to becoming an Antiracist Multicultural Organization for the purpose of meeting the Agency’s End: Success for Each Child and Eliminating the Opportunity Gap by Leading with Racial Equity.
- Evaluates situations involving staff, students, the public, etc., for the purpose of taking appropriate action and/or directing to appropriate personnel for resolution.
- Maintains a variety of manual and electronic documents, files and records for the purpose of providing up-to-date reference and audit trail for compliance with district, local, state and federal regulations.
- Monitors assigned district activities and/or program components for the purpose of coordinating activities and ensuring compliance with established financial, legal and/or administrative requirements.
- Orders department supplies and equipment for the purpose of ensuring availability of items as needed.
- Prepares a wide variety of written materials for the purpose of documenting activities, providing written reference and/or conveying information.
- Processes invoices for payment and performs record keeping for the purpose of supporting the Superintendent and Board office functions.
- Provides administrative support for monthly board meetings, periodic board work sessions, and retreats, including compiling agendas, for the purpose of ensuring effective governance and compliance with organizational requirements.
- Provides administrative support to other ESD programs and departments for the purpose of supporting critical events and meetings.
- Researches a wide variety of topics for the purpose of providing information and/or recommendations for action.
- Responds to a wide variety of calls, concerns and/or complaints for the purpose of resolving problems, providing information and/or referring to appropriate personnel.
- Serves as a liaison to committees and/or organizations for the purpose of conveying and/or gathering information required for ESD operations.
- Supports the Superintendent for the purpose of providing assistance with their administrative functions.
Other Functions
- Assist other personnel as may be required for the purpose of ensuring an efficient and effective work environment.

- Associate’s degree in a job-related field with executive-level administrative experience, or High School Diploma/GED with progressively responsible related experience
- Demonstrated ability to apply an equity lens in decision-making and daily work practices
- Professional experience managing multiple projects in a fast-paced environment, including meeting and event coordination, budget tracking, and staff oversight
- Strong writing, editing, proofreading, and communication skills with attention to detail and accuracy
- Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, virtual collaboration platforms (e.g., Teams, Zoom), and website/content management tools
- Experience inputting, managing, and analyzing data in spreadsheets and/or databases
- Familiarity with customer relationship management (CRM) or database systems, website/content management, and contract administration
- Ability to build and maintain effective working relationships with internal staff, external partners, and community partners
- Experience using BoardDocs or similar board governance platforms (e.g., OnBoard, Convene, BoardPro, BoardEffect) to manage agendas, board books, documents, and meeting workflows
- Professional experience supporting elected officials, governing boards, or similar leadership bodies, including preparing agendas, minutes, and confidential materials
- Demonstrated ability to navigate sensitive issues with diplomacy and discretion while maintaining professional relationships with board members, elected officials, and community partners
- Experience planning and supporting executive-level or high-stakes events, including hybrid (in-person/virtual) formats, with strong skills in proofreading, editing, and multi-project management
