C&S is currently seeking a Technical Administrator for our Sea-Tac office. This is a full-time position. The Technical Administrator performs various office activities for the Sea-Tac regional office group staff of 5-15 people and is an essential contributor to maintaining workflow and quality processes. The applicant should have the ability to take initiative, take ownership of assigned tasks and have a strong attention to detail. This position provides administrative support to internal customers as well as to external clients.

Job responsibilities include:

  • Works with the Aviation Team to complete a number of tasks with the weekly production work, design and construction administration support for projects.
  • Manages project data, including project submittal logging and processing; project closeout documentation; preparation of meeting minutes and project report updates; and supervisor-directed communication with clients and sub-consultants.
  • Prepares a variety of documents, including reports, technical specifications, graphs and charts, presentations, and templates.
  • Maintains project databases, including staffing, deliverables and due dates.
  • Enter projects into internal accounting system for supervisor and group/office staff.
  • Assist in the preparation of technical proposals. Assists with bid solicitations and preparation of client recommendations.
  • Assists the supervisor by working with managers to ensure manager reports are completed.
  • Performs general word processing, emailing, copying, collating, scanning, and data entry.
  • Gathers and delivers/scans mail, faxes and all other correspondence for the group/office.
  • Coordinate delivery of contract documents, drawings, plans and specifications.
  • Maintains calendar(s) and may make travel arrangements and prepare expense reports for supervisor, group and/or office staff.
  • Plans office events and outings, and acknowledges staff milestones.
  • Coordinates administrative support functions with supervisor for new hires and staff changes.
  • Coordinates internal processes, tasks, schedules and activities with other groups.
  • Identifies administrative needs and develops appropriate solutions or recommendations.
  • Coordinates meetings, including meeting invites and distribution of agendas, preparing for and activating technology in conference rooms prior to meeting time, arranging for ordering/delivery of food, and making other necessary arrangements.
  • Responsible for ensuring clean, neat reception area and conference rooms.
  • Periodically provides back-up phone assistance to receptionist in main office.
  • Completes other projects and duties as assigned by the supervisor.

Job Requirements

  • Ideal candidate would have a BS/BA or associates degree or 10 years of successful relevant experience. Proficient with Microsoft Office Products, with emphasis on Word, Excel, PowerPoint, Teams, Zoom and Outlook.
  • Demonstrated initiative taker and strong attention to detail.
  • Ability to meet department needs while managing multiple priorities & initiatives.
  • Ability to interact with all levels within the organization and work in a fast paced environment.
  • Must be approachable, respectful, friendly, and willing to be an important stakeholder in the success and growth of the Sea-Tac office.

Estimated Compensation Range and Benefits

$34.00 - $36.00/hr*

*Actual compensation may vary based on related work experience, geographical location and market conditions, education/training, certifications, and other credentials, as well as applicable knowledge and skills.
