Job Description
Community Health Action of Staten Island (CHASI) drives dramatic improvements in the health of New Yorkers by feeding people who are hungry, healing families broken apart by violence, and bridging the gaps between people and the compassionate health care they deserve. CHASI provides outreach, education, prevention, and direct support services for populations most affected by health disparities – people with low or no income, low-income people with chronic illnesses, people with criminal justice involvement, people who use drugs, domestic violence survivors, people of color, and the LGBTQ community.
POSITION SUMMARY:
The Executive Coordinator provides high-level administrative, planning, and operational support to the Executive Director. Functioning in a Chief of Staff-style coordination capacity, this role helps prioritize initiatives, coordinates Board and leadership activities, advances cross-departmental work, tracks organizational commitments, anticipates needs, identifies potential barriers, supports planning, and supervises the Office Manager.
DUTIES & RESPONSIBILITIES:
- Serve as a trusted planning and operational partner by helping prioritize competing demands, identify emerging issues, and ensure follow-up.
- Protect the Executive Director's time by managing requests and redirecting matters that can be addressed by other leaders or departments.
- Manage the Executive Director's calendar, briefings, meeting preparation, travel, and external engagements.
- Lead Board and committee coordination, including calendars, agendas, materials, minutes, resolutions, records, action items, and scheduled meetings.
- Track organizational priorities, owners, deadlines, and next steps while identifying risks, gaps, unresolved questions, and operational barriers.
- Partner with Executive and Senior Leadership on special projects, organizational planning, and cross-functional initiatives.
- Draft executive communications, reports, presentations, talking points, and administrative procedures, and coordinate Incident Review Committee follow-up as assigned.
- Communicate professionally with leaders, Board members, staff, donors, funders, and community partners while maintaining discretion and confidentiality.
- Supervise and support the Office Manager to ensure responsive and well-organized administrative operations.
- Perform all responsibilities in alignment with CHASI's Mission, Vision, and Core Values, and complete other duties as assigned.
- At least five years of experience supporting executive leadership, managing complex projects, coordinating Board or governance work, or serving in a comparable strategic administrative role; college degree or equivalent relevant experience preferred.
- At least two years of experience supervising staff, managing projects, or leading cross-functional work preferred.
- Strong planning, project coordination, meeting preparation, writing, editing, follow-up, and information-synthesis skills.
- Ability to manage multiple priorities, anticipate needs, exercise sound judgment, synthesize complex information, and move assignments forward with limited direction.
- Proficiency with Microsoft 365 applications, including Outlook, Teams, SharePoint, Word, Excel, and PowerPoint.
- Strong interpersonal skills, discretion, and professionalism when working with senior leaders, Board members, staff, external stakeholders, and sensitive information.
- Availability to attend occasional evening Board or committee meetings scheduled in advance.
- Ability to obtain a valid New York State Notary Public commission within 90 days of employment.

The pay range for this role is generally $75,000-$85,000 annually, commensurate with relevant experience and qualifications and in alignment with internal equity.
