Duties and Responsibilities
- Ability to deliver a high level of service to our guests, including checking in and out of guests and assisting with questions about the Inn and local area attractions and businesses.
- Must be willing to learn and assist in other front office positions including Reservations, Bellman, Door Person, Concierge, Valet or any other task assigned by your supervisor or management.
- Must be committed to increasingly higher standards.
- Complete the nightly audit, including but not limited to:
- Balance all revenue outlets and audit all the needed revenue centers.
- Balance credit cards and cash transactions.
- Monitor credit limit report, highlight excess and report this to front desk management.
- Monitor Open Folios and Open Balances, collect payment and close out.
- Provide the Daily Revenue Report.
- Notify accounting team of all discrepancies.
- Take personal responsibility for each guest’s stay beginning from their car or arrival transportation to their departure.
- Responsible for escorting guests to and from their rooms and providing tours of the facility as needed.
- Act as an ambassador for The Allison Inn and Spa and provide genuinely warm service to each guest.
- Maintain a high degree of ethics and integrity.
- Must be comfortable providing tours of the property and rooms.
- Must be able to communicate professionally and effectively with all guests/staff.
- Able to be on your feet and moving for extended periods of time.
- Ability to deliver amenity items to rooms as needed.
- Must show commitment to increasingly higher standards.
- Must walk property numerous times during night to ensure all doors are secure, lighting is functional, and all guests are safe.
- Maintain cleanliness of front office area and lobby.
Job Skills/Requirements/Qualifications
- 2 years Accounting experience, preferably in hotels
- Night audit experience preferred
- Luxury Hotel and Front Desk experience preferred
- Experience in Opera Cloud, Delphi, Toast, and Meevo an advantage
- Ability to work a flexible schedule to include weekdays, weekends, evenings and holidays.
- Ability to effectively communicate with all team members.
- An enthusiastic, positive demeanor and desire to provide exceptional guest service.
- Successfully pass a pre-employment background investigation
- Must have current Oregon Food Handler’s card
- Must have current OLCC permit
- Must possess a valid driver’s license, pass a motor vehicle records check, and be insurable on company insurance.
Working conditions/Physical Requirements
- Work is primarily performed in a quiet, well-lit, climate-controlled hotel environment, often independently as the primary overnight guest service team member.
- Responsibilities alternate between active guest service (answering phones, assisting guests, and resolving concerns) and quiet, independent administrative work.
- Requires prolonged periods of standing and walking throughout the property with the ability to access all areas of the hotel.
- Frequent bending, kneeling, reaching, and stooping are required to retrieve supplies, restock items and occasionally deliver amenities to guest rooms.
- Ability to reach with hands and arms; sit, stand, and walk for extended periods; climb and navigate stairways throughout the property; and communicate effectively through speaking and hearing.
- During the nightly audit process, prolonged sitting is required while reviewing reports, reconciling financial transactions and entering data into computer systems.
- Specific vision abilities required include close vision, color vision, distance vision, depth perception, and ability to adjust focus.
- Frequent use of computers, keyboards, 10-key calculators and multi-line telephone systems is required.
- Must be able to lift, carry, push or pull up to 75 pounds.
- Requires the ability to work overnight shifts while maintaining alertness, sound judgment and attention to detail during scheduled shift.
- Must be prepared to respond to guest emergencies, safety concerns, or security issues, including conducting exterior property and perimeter checks that may involve exposure to varying weather conditions such as cold, rain, heat or snow.
