What does a Patient Services Supervisor do?

This position is responsible for supervising the patient services staff within the practice and oversees the daily operations and outcomes of the staff by aligning team members with NKC Health guidelines and ensuring standard procedures and operations are executed efficiently.

What does a typical day on the job look like?

  • Monitoring Patient Service Representatives’ performance levels to ensure staff schedules appointments efficiently to meet provider and patient expectations while maximizing volume. Participates in and initiates process improvements.
  • Planning, organizing and supervising workflow to ensure maximum physician scheduling and monitors patient service representatives productivity to ensure standards are met.
  • Ensuring internal standards, guidelines and procedures are in place to achieve/maintain high customer service and performance levels. Ensures patient service representative team follows system protocols for data entry edits and corrections. Oversees the patient rescheduling process.
  • Participating in talent life cycle management, including recruiting, hiring, onboarding, orientation, mentoring, development, engagement, retention, performance management and time keeping.
  • Overseeing the incoming and/or outgoing referral process and fills in when necessary. Performs medical records and patient service representative duties when necessary. Assists patient service representatives with customer contacts requiring supervisory interventions.

What are the requirements for the job?

  • High school diploma or GED
  • Minimum 3 years experience in medical office setting. Supervisory or leadership experience preferred.
  • Working knowledge of insurance plans and knowledge of medical terminology.
  • Excellent interpersonal and verbal and written communication skills, with a strong service mentality.
