Job Description

Ariva Ltd., A multi-faceted construction company is seeking a Purchasing Assistant / Drafter to join our growing team.

Summary

Responsible for all aspects of estimating and purchasing, including quantity take-off specific trade scope, sub-bid solicitation, progress budgets, scope clarifications, systems studies and comparisons, value engineering, subcontractor and general contractor relations, and staying abreast of industry developments applicable to estimating.

  Principal Duties and Responsibilities:

  • Communicate with trade partners and team members regarding new and current projects
  • Creates CAD drawings for projects

  • Creates and modifies maps and elevation designs for special assignments.

  • Incorporates subdivision plats and drawing files into maps.

  • Copies project drawings.

  • Creates drawings for construction projects.

  • May assist in developing survey maps and layouts, when necessary.

  • Works closely with building regulating agencies, builders, contractors and the general public. 10. Aides in creating estimates for purchasing.

  • Prepare estimates and purchase orders in detail for all products.

  • Ensure timely completion of estimates.

  • Coordinate estimating process with management and estimators and provide feedback on project pricing issues.

  • Develop conceptual estimates and manage estimate schedules and resources.

  • Maintain cost histories and pricing data.

  • Prepare cost analysis and establish skills.

  • Understand the scope of work to bid, create all scope sheets for potential bidders and create scopes of work for bid tabulation sheets and manage bid pricing from all vendors.

  • Assist trade partners with troubleshooting issues as they arise, including but not limited to looking for payment on invoices, communicating with Construction Managers about outstanding invoices, and correcting purchase orders

  • Responsible to maintain a list of all active trade partners, their main contacts, and their preferred contact information

  • Process paperwork for change of vendor request and/or approvals within purchasing guidelines

  • Corrections of problem commitments in JD Edwards and informing all parties when complete

  • Work with suppliers/trade partners to resolve any current and/or overdue invoices as necessary

  • Maintain organization of home files and supplier/trade partner files

  • Scan related purchasing files and put them into the correct trade partner file on the common computer drive

  • Contact Construction Managers for clarification on purchase orders when discrepancies arise

  • Keep the Construction Manager posted on any updated Purchasing Department information when necessary

  • Complete tasks or duties as assigned by the Director of Purchasing

  • Support Purchasing Department team at all times with any projects that need further research

  • Schedule appointments within the Purchasing Department and arrange meetings with trade partners

  • Assist with setting up potential trade partners including completion of vendor packet/ABR

  • Ensure up-to-date scope of works is signed by the trades and uploaded into BOX for field construction use.

  • Perform all other duties as assigned

Requirements:

  • High School Diploma or General Equivalency Diploma is required.

  • Bachelor’s degree in construction management or related field is preferred.

  • 1 – 3 years of experience in construction estimating is required.

  • Bricks software experience is preferred.

  • Strong understanding of residential construction processes.

  • Proficiency with MS Word and Excel.

  • Able to multi-task and meet strict deadlines.

  • Impeccable problem-solving skills and maintaining working relationships with vendors and subcontractors.

  • Knowledge of PC and of construction and business software, be able to read architectural plans and develop cost estimates, scheduling, spreadsheets, and word processing.

  • Must have excellent written and verbal communication skills.

  • As other duties as assigned.
