Project Coordinator (GoHighLevel & ClickUp) Night Shift

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Coordinator (GoHighLevel & ClickUp) Night Shift based in Canada.

This fully remote role is ideal for an organized project coordinator who thrives on turning moving pieces into clear, completed deliverables. You’ll coordinate multiple projects from kickoff through completion, keeping timelines, priorities, dependencies, and action items on track. ClickUp will serve as your central project management workspace, while GoHighLevel will support CRM, workflow, pipeline, and client follow-up activities. You’ll work closely with clients, internal teams, vendors, and other stakeholders to maintain momentum and accountability. The role combines project coordination, operations, client communication, and process improvement in a distributed environment. If you enjoy spotting potential delays early, closing open loops, and bringing structure to fast-moving projects, this opportunity offers meaningful ownership and international exposure.

Accountabilities
  • Coordinate multiple projects from kickoff through completion, ensuring deliverables, milestones, dependencies, and deadlines remain on track.
  • Create, assign, monitor, and update tasks in ClickUp while maintaining accurate project timelines, priorities, and statuses.
  • Monitor outstanding and overdue tasks, follow up with owners, and proactively address bottlenecks, risks, and potential delays.
  • Provide clear project status updates and escalate issues when additional support or decisions are required.
  • Coordinate meetings and communication across clients, internal teams, vendors, and other stakeholders.
  • Document meetings, decisions, action items, and follow-ups, ensuring commitments are tracked through completion.
  • Support client onboarding and project implementation activities to ensure smooth transitions and timely delivery.
  • Manage workflows, pipelines, contacts, tasks, and follow-ups within GoHighLevel/HighLevel.
  • Maintain accurate and up-to-date CRM and project information across relevant systems.
  • Support the creation and maintenance of SOPs, workflow improvements, and operational processes that increase consistency and efficiency.
Requirements
  • 2+ years of relevant experience in project coordination, project management, operations, or a comparable role.
  • Practical hands-on experience with ClickUp and GoHighLevel/HighLevel is required.
  • Strong organizational, time-management, prioritization, and follow-up skills, with exceptional attention to detail.
  • Demonstrated ability to manage multiple projects and competing priorities while maintaining accuracy and meeting deadlines.
  • Strong written and spoken English communication skills, with the ability to interact professionally with clients and internal stakeholders.
  • Excellent problem-solving skills and the ability to identify, communicate, and escalate risks or delays proactively.
  • Ability to work independently, remain productive, and maintain accountability in a fully remote environment.
  • Experience in a digital marketing agency or related setting is an advantage, particularly across client services, operations, CRM administration, marketing project management, website or campaign delivery, customer onboarding, or business process management.
  • Experience collaborating with distributed or remote teams is considered a plus.
