Registration Coordinator
Hybrid WFH in Reston, VA 20191 | Currently 2 days in office – 3 days remote.

Summary:
The Registration Coordinator position works alongside the Associate Director, Registration Services and Junior Registration Account Manager to provide registration services to our clients at conferences ranging from 800-45,000 people. This position reports to the Associate Director, Registration Services.
Essential Duties and Responsibilities (in order of importance):
- Communicate with multiple clients daily.
- Maintains and manipulates data in registration databases.
- Assist in the configuration of the internal Registration System.
- Assists in preparing specifications for registration websites, as well as on-line and in-house reports.
- Assists in the development and beta testing for registration websites.
- Creates meeting cheat sheets and train Data Entry and Customer Service staff on specific events.
- Provides registration reports for clients.
- Coordinates with Lead Retrieval to test proper badge encoding and session access control when needed.
- Assist with the development and testing of badge and event ticket logic.
- Assist with the coordination of on-site needs for registration – counters, equipment, supplies, shipping, staffing, etc.
- Assist with the coordination of badge mailing(s) when required.
- Prepare and pack onsite registration supplies for shipment.
- Performs onsite meeting functions such as training temporary staff and distribution of registration materials.
- Assist with the coordination of membership and exhibiting company updates.
- Checks reports (on-line & in-house) regularly to ensure data integrity.
- Exports registration data as needed for special reports and final post show data.
- Acts as back up to Registration Account Managers with specific show assignments by preparing registration forms for data entry, answering inquiries about multiple shows, assisting with client communications, and traveling as back up for Registration when needed.
- Performs other duties as assigned.
Qualifications (computer & communication skills, training, certification, etc.):
- Excellent verbal and written communication skills.
- Must be organized and can multi-task.
- Proficiency with MS Office, Access preferred.
- Attention to detail.
- Needs little supervision.
- Team player
- Proofreading skills
- Strong time management skills
Education and/or Experience:
- 3+ years of customer service experience
- 1+ years administrative experience
Travel Required: 25%
