Position Summary

Assembly Technologies Inc. (ATI) is seeking a highly organized and detail-oriented Bookkeeper / Administrative Coordinator to support the daily financial and administrative operations of our manufacturing facility. This role is responsible for accounts payable, purchasing, bookkeeping, and general office administration while providing exceptional internal customer service to employees, vendors, and customers.

The ideal candidate is dependable, proactive, and enjoys working in a fast-paced manufacturing environment where no two days are the same.

Essential Duties and Responsibilities

Bookkeeping & Accounting

  • Process accounts payable by reviewing, coding, and paying vendor invoices accurately and on time.
  • Reconcile vendor statements and resolve invoice discrepancies.
  • Maintain accurate financial records and supporting documentation.
  • Assist with accounts receivable, customer invoicing, and collections as needed.
  • Reconcile company credit card statements and employee expense reports.
  • Maintain vendor files, W-9s, certificates of insurance, and payment records.

Purchasing

  • Purchase office, production, maintenance, and operational supplies.
  • Obtain competitive pricing and vendor quotes.
  • Create and maintain purchase orders.
  • Ensure purchases are approved in accordance with company policy.
  • Track orders and coordinate deliveries.
  • Maintain inventory levels for office supplies and administrative materials.
  • Develop and maintain positive relationships with vendors and suppliers.

Administrative Support

  • Answer and direct incoming telephone calls.
  • Welcome visitors, customers, and vendors professionally.
  • Coordinate incoming and outgoing mail and packages.
  • Maintain organized electronic and paper filing systems.
  • Schedule meetings and assist with travel arrangements.
  • Prepare correspondence, reports, presentations, and other business documents.
  • Assist Human Resources with onboarding paperwork, filing, and employee documentation.
  • Maintain office equipment and coordinate repairs or maintenance.
  • Order office supplies and maintain an organized office environment.
  • Provide administrative support to leadership and other departments as needed.
Requirements:

QualificationsRequired

  • High school diploma or equivalent.
  • Minimum of three (3) years of bookkeeping and administrative experience.
  • Experience processing Accounts Payable.
  • Strong knowledge of Microsoft Office, particularly Excel and Outlook.
  • Experience with QuickBooks or similar accounting software.
  • Excellent organizational, communication, and time management skills.
  • Strong attention to detail and accuracy.
  • Ability to handle confidential information with professionalism.

Preferred

  • Associate degree in Accounting, Business Administration, or related field.
  • Manufacturing experience.
  • Experience with ERP systems.
  • Payroll experience is a plus.
  • Purchasing or procurement experience.

Physical Requirements

  • Prolonged periods of sitting and computer work.
  • Ability to occasionally lift up to 25 pounds.
  • Ability to move throughout the office and manufacturing facility.
