Position Overview
The Administrative Assistant supports the Director and the Survivor Empowerment Services (SES) Program. Conducts research and analyzes data for program outcomes and reporting findings to the Director. Provides support to program Managers on an as needed basis. This position requires on-call availability, during business hours, to provide crisis intervention and accompaniment services as needed.
Statement of Duties
- Provides administrative support to three crisis centers, one college satellite campus office and the SES Director as directed.
- Types reports, correspondence, meeting notices, rosters, surveys, handbooks, and other documents generated from the SES Department.
- Responsible for proof reading and revising final product for corrections and quality assurance.
- Develop and maintain database files as required. Keeps all Association data up to date; files must be maintained accurately.
- Maintains program’s expenditures and submits electronic purchase orders for approval.
- Takes and maintains accurate and accessible minutes of program meetings and program policies, produces documents promptly after meetings.
- Arranges meetings; provides room set-up, refreshments as required, takes minutes, provides sign-in sheets, produces drafts and final documents.
- Answers telephones, screens calls, and takes messages for program and Director; provides back-up material to the Director for response to inquiries. Takes dictation by hand and/or transcribes notes as appropriate.
- Arranges travel and lodging for program. Provides same for designated program staff and/or YWCA GLA consultants.
- Reviews and categorizes mail. Organizes information required for routine responses and develops draft correspondence for Senior Director’s review and approval.
- Develops and maintains client profiles and performance records.
- Provides crisis intervention on the 24-hour hotline and hospital accompaniment services to survivors of sexual assault as requested by law enforcement and/or forensic nurse.
- Other duties as assigned.
Minimum Qualifications
- Education: AA degree, or equivalent of two (2) years of higher education.
- Experience: Two (2) years’ administrative assistant, word processing and/or secretarial experience; experience in non-profit organization helpful.
- Personal qualities: Highly organized; dependable; sound judgment; mature; flexible; ability to adapt.
- Ability to work independently.
- Able to type 50 words per minute.
- Computer literate. Proficiency in Microsoft Office.
- Must have valid CA driver’s license and auto insurance.
