Project Specialist, Marketing Operations

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Project Specialist, Marketing Operations based in the United States.

This role is a key operational partner within a global marketing organization, helping turn strategic priorities into well-executed initiatives. You will coordinate multiple projects across creative, campaigns, and product portfolios, keeping teams aligned and work moving forward. The position combines project management, stakeholder communication, process improvement, and operational coordination. You will create structure around timelines, resources, dependencies, documentation, and deliverables while proactively identifying and managing risks. Working across highly collaborative and mission-driven teams, you will help strengthen marketing effectiveness and consistency. Accountabilities:
  • Coordinate the planning and execution of multiple cross-functional marketing initiatives, ensuring projects align with organizational priorities, objectives, timelines, and available resources.
  • Develop and maintain project roadmaps, schedules, milestones, dependencies, work plans, dashboards, and other project management tools from initiation through completion.
  • Facilitate project meetings, provide regular status updates, document decisions and action items, and ensure timely follow-up across stakeholders.
  • Monitor project progress, team capacity, risks, dependencies, and timeline changes, proactively communicating issues and escalating challenges when appropriate.
  • Maintain project documentation, workflows, templates, operating procedures, approvals, and reporting materials in accordance with established policies and governance standards.
  • Identify opportunities to improve project management processes, workflows, templates, and team effectiveness, while helping establish and embed consistent best practices.
  • Foster strong collaboration across Marketing, Creative, Campaigns, Product, leadership, and external partners to ensure successful project delivery and stakeholder alignment.
  • Support vendor and external partner coordination, departmental planning, project retrospectives, and continuous improvement initiatives.
  • Contribute to a culture of accountability, service, and operational excellence while supporting the organization's broader mission and participating in its community of spiritual formation.
Requirements
  • Bachelor's degree in Business, Marketing, Communications, Project Management, or a related discipline, or equivalent professional experience.
  • 5+ years of project management experience in a marketing, creative, nonprofit, or business environment, ideally involving multiple concurrent initiatives.
  • Experience with project management platforms such as Teamwork, Asana, Monday.com, Jira, Workfront, or similar systems, along with strong proficiency in Microsoft Office.
  • Demonstrated ability to build and manage project schedules, dashboards, status reports, documentation, and workflow processes with a high degree of accuracy.
  • Familiarity with marketing or creative project workflows and experience operating effectively in fast-paced, highly collaborative environments.
  • PMP, CAPM, or an equivalent project management certification is preferred.
  • Exceptional organizational skills, attention to detail, prioritization, and follow-through, with the ability to remain calm and effective under competing deadlines.
  • Strong written and verbal communication skills, with the ability to build relationships, influence stakeholders without formal authority, and facilitate collaboration across teams.
  • A proactive, adaptable, and solution-oriented approach, combined with strong ownership, accountability, sound judgment, and a commitment to continuous improvement.
  • Candidates must have the right to work in the United States. The role also requires alignment with the organization's Christian faith and values, including participation in spiritual formation activities.
