Job Description

The Strategic Executive Coordinator is a highly organized, proactive, and discreet professional who serves as a key operational partner to the executive team. This hybrid role combines executive-level administrative support with payroll coordination, office management, and accounting assistance.The ideal candidate is comfortable moving between strategic executive priorities and detailed day-to-day administrative responsibilities. They will anticipate the needs of leadership, coordinate critical business processes, maintain accurate records, support financial and payroll activities, and ensure the office operates efficiently.This position requires exceptional judgment, confidentiality, attention to detail, follow-through, and the ability to manage competing priorities in a fast-paced environment.

Core Responsibilities

Executive Coordination & Support

  • Provide high-level administrative and organizational support to executives.
  • Manage calendars, meetings, appointments, travel arrangements, and itineraries.
  • Prepare meeting materials, agendas, presentations, reports, and correspondence.
  • Coordinate communication and follow-up on behalf of executives.
  • Track priorities, deadlines, commitments, and action items.
  • Handle confidential and sensitive business and personnel information with discretion.
  • Serve as a liaison between executives, employees, clients, vendors, and external partners.
  • Anticipate executive needs and proactively resolve administrative issues.

Payroll & Human Resources Administration

  • Coordinate payroll processing and ensure timely submission of payroll information.
  • Maintain accurate employee records, timesheets, PTO, and related documentation.
  • Assist with onboarding and offboarding administrative processes.
  • Coordinate benefits and employee-related paperwork as needed.
  • Work with payroll providers, HR partners, and management to resolve payroll discrepancies.
  • Maintain confidentiality of employee compensation and personal information.
  • Assist with compliance-related administrative requirements.

Office Management & Operations

  • Oversee day-to-day office operations and ensure the workplace is organized, functional, and well supplied.
  • Manage office supplies, equipment, facilities, vendors, and service providers.
  • Coordinate maintenance, repairs, deliveries, and office-related projects.
  • Establish and maintain administrative procedures that improve efficiency.
  • Coordinate meetings, events, visitors, and company activities.
  • Maintain organized digital and physical filing systems.
  • Identify operational inefficiencies and recommend practical solutions.

Accounting & Financial Administration

  • Assist with accounts payable and accounts receivable activities.
  • Process invoices, expense reports, reimbursements, and payment requests.
  • Maintain accurate financial and administrative records.
  • Assist with bank deposits, reconciliations, and transaction documentation as assigned.
  • Coordinate with accountants, bookkeepers, vendors, and financial institutions.
  • Monitor recurring expenses and administrative budgets.
  • Assist with month-end and year-end accounting support.
  • Maintain organized documentation for audits, tax preparation, and financial reporting.

Strategic & Cross-Functional Support

  • Act as a central point of coordination across executive, administrative, payroll, office, and accounting functions.
  • Support special projects and initiatives assigned by leadership.
  • Research vendors, services, policies, and business solutions.
  • Develop systems, processes, and tracking tools that improve organizational efficiency.
  • Monitor deadlines and ensure important administrative tasks are completed on time.
  • Exercise sound judgment when determining priorities and escalating issues.
  • Take ownership of problems and follow them through to resolution.

Qualifications

  • 3 years of experience in executive assistance, office administration, operations, payroll, accounting support, or a related field preferred.
  • Experience supporting executives, owners, or senior leadership preferred.
  • Working knowledge of payroll processes and employee administration.
  • Basic understanding of accounting principles, AP/AR, expense management, and financial recordkeeping.
  • Strong proficiency with Microsoft Office and/or Google Workspace.
  • Experience with accounting, payroll, HRIS, expense management, or project-management systems is a plus.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication skills.
  • High level of discretion and confidentiality.
  • Excellent attention to detail and accuracy.
  • Ability to prioritize independently and manage multiple deadlines.
  • Strong problem-solving skills and a proactive, solutions-oriented mindset.
  • Ability to work effectively with executives, employees, vendors, and outside professionals.
