Position Overview:
The Human Resources & Payroll Coordinator provides administrative support for payroll, employee benefits, human resources, and firm operations. Responsibilities include processing payroll, maintaining employee records, administering benefit and retirement contributions, reviewing timekeeping, and assisting employees and management with routine HR and payroll matters.
This position follows established policies and procedures and receives training and guidance on the firm's payroll, HR systems, benefits, and administrative processes.
The ideal candidate is organized, detail-oriented, dependable, proactive, and able to maintain strict confidentiality when handling sensitive employee information.
Essential duties and responsibilities:
Payroll & Benefits
- Process regular payroll accurately and according to established schedules and procedures.
- Review 401(k), HSA-Health, FSA-Health, and FSA-Dependent contributions.
- Review hourly employee timesheets for accuracy and compliance with established procedures.
- Follow up on missing or inconsistent timekeeping information.
- Process authorized payroll changes, deductions, and employee information.
- Prepare payroll reports, assist with reconciliation, and research routine discrepancies.
- Coordinate with payroll providers and accounting personnel as needed.
- Maintain accurate payroll records and assist with year-end reporting.
Human Resources Administration
- Maintain confidential employee personnel and HR records.
- Assist with new-hire onboarding, payroll setup, benefits enrollment, and offboarding.
- Maintain employee information in HR and payroll systems.
- Assist with employment verifications and other routine HR matters.
- Assist with recruiting and hiring coordination, including scheduling and paperwork.
- Respond to routine employee questions and escalate sensitive or complex matters appropriately.
Confidentiality and Employee Support
- Maintain strict confidentiality of employee compensation, payroll, benefits, personnel records, and other sensitive information.
- Handle employee questions professionally and courteously.
- Protect confidential information in accordance with firm policies and established procedures.
- Escalate sensitive employee matters, policy questions, or situations requiring management judgment to the appropriate supervisor.
Secondary duties and responsibilities:
- Assist with operational and administrative functions necessary to support a growing law firm.
- Prepare reports, spreadsheets, correspondence, and other administrative materials.
- Maintain organized electronic and physical records.
- Assist with special projects and other administrative responsibilities as assigned.
Qualifications:
- High school diploma or equivalent required.
- Strong attention to detail and organization skills with keen eye for detail and accuracy.
- Ability to handle confidential information with discretion.
- Excellent written and verbal communication skills.
- Basic proficiency with Microsoft Office (Word, Excel, Outlook & PowerPoint).
- Ability to work accurately with numbers, records, and deadlines.
- Ability to learn payroll, HR, and benefit processes.
- Reliable and self-motivated with a proactive attitude
- Comfortable communicating with individuals at all levels
- Experience working in a professional office environment
Prior HR or Payroll experience is not required; training will be provided.
