Professional Services Operations Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Professional Services Operations Coordinator based in the United States.

This role supports the operational engine behind successful Professional Services delivery in a fast-paced SaaS environment.
You’ll coordinate workflows across Sales, Implementation, Finance, RevOps, and Customer Success to keep projects moving smoothly.
The position combines project coordination, systems administration, reporting, data quality, and process improvement.
You’ll help ensure customer handoffs are complete, operational systems remain accurate, and delivery teams have the information they need to succeed.
The role also offers opportunities to leverage AI, automation, and integrations to reduce manual work and improve efficiency.
Success requires strong organization, attention to detail, autonomy, and the ability to manage multiple priorities across teams.
This is a fully remote opportunity with meaningful exposure to operational strategy, technology, and business performance.

Accountabilities:
  • Coordinate cross-functional delivery workflows across Sales, Implementation, Finance, RevOps, and related teams, including project routing, provisioning, and customer transitions.
  • Manage sales-to-implementation handoffs, verifying contractual requirements, deliverables, and operational readiness before projects begin.
  • Coordinate implementation-to-Customer Success handoffs, reviewing project closeout activities to ensure information and documentation are complete and consistent.
  • Administer Professional Services systems and tools, including project provisioning, templates, user permissions, data maintenance, and archiving.
  • Prepare recurring reports and dashboards covering delivery performance, capacity, utilization, backlog, project health, and other operational KPIs.
  • Maintain standard operating procedures, process documentation, and operational playbooks to promote consistent execution across the organization.
  • Support financial and operational tracking by maintaining accurate metrics and KPI data.
  • Identify opportunities to improve workflows through AI-enabled tools, automation, integrations, and other technology solutions.
  • Audit project and operational data, identify discrepancies, and coordinate timely corrections to maintain data integrity and compliance with established processes.
Requirements:
  • 3–5 years of experience in Professional Services Operations, Delivery Operations, Project Coordination, or a comparable operational role, preferably within a SaaS or technology organization.
  • Strong experience working with CRM and project management platforms, particularly Salesforce, Toggl, Asana, and/or Professional Services Automation (PSA) systems.
  • Proficiency with Google Sheets or Microsoft Excel, including capacity tracking, SLA reporting, dashboards, and operational reporting.
  • Demonstrated ability to manage recurring operational responsibilities independently while maintaining high standards of data accuracy and meeting deadlines.
  • Strong communication and interpersonal skills, with the ability to collaborate effectively with stakeholders across multiple business functions.
  • Proven ability to coordinate several cross-functional initiatives simultaneously while remaining organized, detail-oriented, and process-focused.
  • Experience producing operational reports and maintaining reliable data that supports leadership decision-making.
  • A proactive, self-starting mindset and willingness to identify process improvements rather than simply follow existing workflows.
  • Comfort working in a technology-driven environment and using automation or AI tools to improve operational efficiency is highly valuable.
Benefits:
  • Annual salary range of $78,026–$98,000, with starting compensation determined by factors including experience, education, certifications, technical and non-technical skills, market conditions, and business expertise.
