At First Place for Youth, inclusivity reigns, creating a workplace where all voices are heard, respected, and empowered.POSITION OVERVIEW: The Human Resources Coordinator is a highly organized, detail-oriented member of the HR team who keeps core HR operations running smoothly so that First Place for Youth staff can focus on helping foster youth build the skills they need for a successful transition to adulthood. This role supports the full employee lifecycle —onboarding, benefits, leave, records, compliance, and offboarding — and serves as a first point of contact for employee HR questions. The coordinator is service-minded, discreet with confidential information, and able to manage multiple priorities accurately in a fast-paced environment. The HR Coordinator will have exceptional communications skills and possess the ability to engage others with diplomacy and confidentiality to build and maintain strong professional working relationships.

DUTIES + RESPONSIBILITIES:

Onboarding

Conduct or obtain background checks and employment eligibility verifications (Form I-9/E-Verify), and ensure all pre-employment screening is completed in a timely manner.Administer new hire onboarding, including new hire paperwork, system setup coordination, and first-day logistics.Coordinate and deliver new hire orientation in collaboration with the HR manager.

HR Operations

Provide day-to-day administrative support to the HR team.Maintain accurate, secure, and audit-ready personnel files (electronic and hard copy), I-9 records, and Community Care Licensing (CCL) staff documentation.Enter and maintain employee data in the HRIS; run standard reports and audit data for accuracy.Track and maintain required staff training documentationRespond to the HR inbox and HR ticketing system in a timely, professional manner.Process HR vendor invoices for payment.Effectively coordinate with Payroll on related mattersProcesses documentation and prepares reports relating to personnel activities (i.e., staffing, recruitment, training, compliance filings, etc.)Coordinate offboarding, including exit paperwork, system access removal requests.

Benefits and Workers Compensation

Support employees with benefits enrollment and questions; assist with annual open enrollment.Support benefits system administration and monthly HR and benefits invoice payments.Support Workers' Compensation claims documentation and reporting.Process employment verifications, Public Service Loan Forgiveness forms

Projects, and Compliance

Coordinate HR projects, including meetings, trainings, and employee surveys.Coordinate and prepare documentation for internal and external audits, including licensing and audit reviews.Reviews, tracks, and documents compliance with mandatory trainingsMaintains compliance with federal, state, and local employment laws and regulations

General

Other duties as assigned.QUALIFICATIONS:

Bachelor's degree in human resources, Business Administration, or related field requiredAt least 2 years of Human Resources or HR administrative experience required.A strong dedication to cultural competency that creates conditions that remove barriers and increase a sense of belonging.Working knowledge of core HR functions and employment documentation; familiarity with California employment and leave requirements preferred.Experience using an HRIS (data entry, reporting, employee self-service support).Proficiency with Microsoft Office (Word, Excel, PowerPoint, Outlook) and comfort learning new technology.Personal and professional integrity, with demonstrated ability to handle confidential personal, financial, and medical information with discretion.Strong organizational and time management skills and attention to detail; able to manage competing priorities and meet deadlines.Clear, professional written and verbal communication, with a service-minded and diplomatic approach to supporting employees, managers, and candidates.Collaborative work style; able to take direction and work independently as needed.Nonprofit or human services experience is a plus. Lived experience with the foster careAvailability for occasional evening and weekend work and some travel as needed.*We do not offer relocation assistance Local candidates preferred
