Job Summary

The Receptionist is the first point of contact at the Nak’azdli Whut’en Health Centre. This role is responsible for greeting visitors, managing incoming calls, providing information about health services, and performing general secretarial and clerical duties. The Receptionist also supports staff with administrative tasks and ensures the reception area is welcoming and organized.

Key Responsibilities:

  • Welcome and direct visitors based on their needs.
  • Answer and route incoming calls, take messages, and schedule appointments.
  • Provide accurate information about FNHA (First Nations Health Authority) health benefits and assist community members in accessing these services.
  • Operate office equipment such as fax machines, photocopiers, and answering machines.
  • Maintain and organize confidential Community Health Nurse (CHN) files and health records.
  • Sort, receive, and distribute incoming mail and correspondence.
  • Respond to routine inquiries and direct them to the appropriate staff or take accurate messages.
  • Track staff absences and expected return times.
  • Arrange courier deliveries and pickups.
  • Draft, type, photocopy, and compile various documents and reports.
  • Maintain the reception area and office bulletin boards to ensure a clean and welcoming environment.
  • Lock windows and doors and ensure all appliances (heaters, coffee makers) are turned off at the end of the workday.
  • Water plants and perform basic office maintenance duties.
  • Attend training sessions as required.
  • Perform additional duties as assigned.

Qualifications:

  • High school diploma or equivalent.
  • Proficiency in Microsoft Word, Excel, and email communication.
  • Knowledge of standard office procedures and equipment.
  • Strong written and verbal communication skills.
  • Excellent time management and attention to detail.
  • Ability to interact professionally, sensitively, and politely with community members.
  • Demonstrates a high level of professionalism, honesty, and confidentiality.
  • Strong work ethic and a collaborative team attitude.
  • Valid BC Class 5 Driver’s License.

Working Conditions:

  • Regular interaction with the public, staff, and external partners.
  • Extensive computer use and prolonged periods of sitting.
  • Manual dexterity required for computer and office equipment use.
  • Flexibility to work outside regular hours when necessary.

Hours of Work

Regular office hours are from 8:00 am to 4:00 pm for 7 hours per day from Monday to Friday and it is expected that all work will be completed within your regular working hours. As a Casual On-Call Receptionist, hours and days of work will vary and are not guaranteed – this is casual, on-call work on an as-needed basis.
