About This Position
Position Summary:
Franklin Pierce University College of Health Natural Sciences is committed to collegial collaboration amongst all members of the team, across all programs and centers. The role of the Program Coordinator will be to perform a wide variety of administrative tasks and support the Program Director(s) at Academic Centers. The Program Coordinator will assist faculty and other staff members with record keeping, daily communication, and program operations as needed. The position will be expected to provide support for the admissions process as well as collaborate on the clinical placement.
Typical Schedule:
This is a full-time non-exempt position. The typical hours for this position are forty (40) hours per week, Monday through Friday, during normal business hours. However, the individual must be flexible and may need to be available early morning, evening or weekends to meet the needs of the department.
Position Reports to: Center Program Directors
Type of Supervision Received: General direction and supervision from the Director.
Supervision Given: May be responsible for supervision of MPAS office staff and student workers as needed.
Job Responsibilities and Essential Functions of the Position:
- Coordinate, initiate, prepare, process, and/or monitor administrative/financial/operational correspondence, forms, records, reports, schedules, clinical training and orientation materials and other documents, ensuring timely and accurate completion of documents by other department/University students, faculty or staff, or individuals external to the University.
- Initiate, prepare, and process administrative/financial/operational correspondence (i.e. forms, records, reports, schedules, clinical training and orientation materials and other documents.)
- Organize and maintain files and records, frequently involving cross-filing/cross-reference systems.
- Compile a variety of information from both manual and computerized records and files for regular and special reports and in response to specific requests by supervisor or faculty members.
- Initiate and manage data collection related to accreditation requirements including, admissions data, faculty credentials, faculty workload, curriculum, and clinical education and student outcomes.
- Ensure the program information in the relevant accreditation systems, like the ARC-PA portal is up-to-date.
- Authenticate and monitor electronic data collection pertaining to preceptors, course evaluations, student surveys, certification data, formative and summative examinations, and other required assessment elements
- Ensure timely and accurate completion of documents by other staff, faculty, students or individuals external to the department or university.
- Work with the Program Director(s) in preparing and monitoring the departmental budget and other financial reports as requested.
- Submit purchase orders and check requests to appropriate personnel.
- Monitor and prepare payroll for external lecturers or standardized patients as needed.
- Schedule meetings, appointments, and maintain calendars for the Program Director as needed.
- Take and transcribe minutes from various committee meetings.
- Proofread and edit documents as needed to ensure grammatical correctness, completeness, and consistency with university and departmental style standards.
- Participate in the planning of marketing activities for the assigned campus.
- Assist with trouble-shooting office equipment or IT equipment.
- Arrange for custodial, maintenance and repair services for the campus.
- Screen and distribute incoming mail for faculty.
- Assist in the processing of admissions documents (as needed) including managing databases, screening applicants, coordinating faculty reviews, communicating with applicants, faculty, and external agencies supporting the admissions function
- Assist with event planning and execution as needed such as new student orientations, open house, interviews for prospective students, white coat ceremony, and commencement.
- Monitor student health records and other medical documentation system(s)to ensure that students have achieved full compliance with admission screenings as well as updated screenings prior to the clinical year.
- Other duties as assigned.
- A minimum of 3 years of previous relevant administrative experience is required.
- Associate degree in related area, Bachelor’s degree preferred; or a combination of education and experience from which comparable knowledge and skills have been acquired.
- Incumbent must possess excellent presentation and computer skills with proficiency in Microsoft Office software (specifically, Word, Excel, Access and Outlook), as well as the ability to stay current with emerging office technologies.
- Incumbent must possess strong customer service skills, organizational skills, and excellent oral and written communication skills in English.
- Individual exhibits a highly collaborative leadership style and ability to work with others within a highly complex, yet integrated academic environment.
- Demonstrate basic bookkeeping/accounting skills.
- Incumbent will work under typical office conditions.
- The ability to work independently in a dynamic environment with changing priorities and multiple responsibilities is an asset.
- Possess a good understanding of higher education organizational and governance structures. Supervisory and project experience desired
Incumbent must be physically able to lift various materials up to 25 pounds on an occasional basis. While performing required job tasks, the staff member must be physically able to remain seated frequently to continuously; and physically able to remain standing up to 15% of the time. The staff member must possess dexterity abilities required to perform typing, operate a computer and other office equipment, as related to job responsibilities and expectations.
- Handle and protect highly confidential material. All information must be kept in strict confidence and should only be discussed in the appropriate professional setting.
- Demonstrate excellent customer service skills, including dealing effectively with the students, faculty, staff, and general public both in person and on the telephone. Advises, screens, and directs callers and visitors to the appropriate person.
