This role sits at the intersection of executive support, internal operations, and culture-building, ensuring that the People and Culture function runs smoothly and effectively across the organization. You will provide high-level administrative support to senior leadership while coordinating day-to-day workflows, systems, and cross-team initiatives. The position plays a key role in strengthening internal communication, improving operational efficiency, and supporting engagement efforts that foster belonging and alignment. You will also help organize and execute culture-focused programs such as events, retreats, and recognition initiatives that reflect organizational values. Working in a mission-driven and collaborative environment, you will interact with multiple stakeholders and contribute to both strategic coordination and hands-on execution. This is a highly visible role that combines structure, adaptability, and people-focused impact.
In this role, you will support executive leadership, coordinate internal operations, and contribute to culture and engagement initiatives that enhance organizational effectiveness and employee experience. Your responsibilities will include:
- Providing proactive executive support, including calendar management, travel coordination, meeting preparation, and handling confidential communications for senior leadership.
- Coordinating daily People and Culture operations such as scheduling, task tracking, workflow management, and follow-ups to ensure priorities are completed on time.
- Managing and improving internal systems, documentation, and knowledge-sharing tools to ensure information is organized, accessible, and up to date.
- Supporting cross-functional project coordination by gathering inputs, tracking progress, and helping teams stay aligned on shared objectives and timelines.
- Assisting in planning and executing culture-building activities such as retreats, team events, recognition programs, and engagement campaigns.
- Helping prepare meeting materials, agendas, and reports, while ensuring strong internal communication across teams and stakeholders.
- Monitoring operational efficiency and surfacing opportunities to improve coordination, productivity, and internal processes.
The ideal candidate brings strong executive support experience combined with operational coordination and a passion for culture-building initiatives. You should be comfortable working across multiple priorities in a fast-paced, collaborative environment. Key qualifications include:
- 3+ years of experience in executive administrative support, operations coordination, or similar roles involving senior leadership support.
- Strong organizational and project management skills, with the ability to track multiple priorities, manage timelines, and ensure high-quality execution.
- Experience supporting internal operations such as scheduling, documentation management, workflow coordination, and process improvement.
- Proven ability to plan and support engagement initiatives, events, or culture-focused programs that strengthen team connection.
- Excellent communication skills, both written and verbal, with the ability to adapt messaging for different audiences.
- Strong cross-functional collaboration skills and the ability to coordinate input from multiple stakeholders.
- Proficiency with digital tools for scheduling, documentation, and internal collaboration, with a willingness to learn new systems.
- High attention to detail, discretion with confidential information, and a proactive, solution-oriented mindset.
