Softengine is seeking a trustworthy Human Resource Administrator/Executive Assistant for our CEO. This role will include human resources but will also require business knowledge and be ability to be hands-on with general assistant duties, business consulting, and legal issues when needed. You will function as the main liaison between our CEO and the upper management. This role requires business and confidentiality.
In the simplest sense, the CEO is seeking someone who understands business, is motivated to learn the business, and can contribute to the growth of our organization during our aggressive expansion phase. An individual must be able to thrive in multi-role playing and be a fast and accurate employee.
Job Responsibilities:
Human Resources Administration:
· Maintain and update employee records, HRIS data, and personnel documentation
· Support onboarding and offboarding processes, including documentation, system access, and orientation coordination
· Assist CFO in drafting and updating HR policies, employee handbooks, and internal procedures
· Coordinate leave tracking and employee lifecycle documentation
· Ensure compliance with company policies, labor regulations, and internal HR processes
· Support performance review cycles, employee engagement initiatives, and internal communications
· Prepare HR reports and dashboards (headcount, turnover, hiring metrics, etc.)
· Manage the full-cycle recruitment coordination process (job postings, scheduling, candidate communication)
· Source candidates through LinkedIn, job boards, referrals, and talent databases
· Conduct initial resume screening and shortlist qualified candidates
· Coordinate interviews with hiring managers and leadership, including the CEO when required
· Partner with department heads to understand hiring needs and workforce planning
· Ensure positive and professional candidate experience throughout the hiring process
· Assist the CFO and CEO with workforce planning and organizational development initiatives
· Coordinate internal training sessions and professional development initiatives
Executive Support to CEO:
· Support the CEO in decision-making and scaling the business
· Manages the CEO’s correspondence: email, phone, and time calendar.
· Schedule and facilitate meetings, to ensure the CEO’s attendance and provide prep to be in the ‘know.’
· Upper-level management administration and communication
· Respond to departmental requests for information, time, and the CEO’s attention
· Gatekeeping
· Request travel arrangements for the CEO and potential guests
· Attend executive meetings and transcribe minutes, ad hoc reports
· Manage the CEO’s personal requests
· Preparation and analysis of company data to support decision-making
Job Requirements:
· Bachelor’s degree in human resources, Business Administration, Psychology, or a related field (or equivalent experience)
· 2-3+ years of experience in HR administration, recruiting coordination, talent sourcing, or People Operations
· Prior experience supporting executives or leadership (CEO, COO, or senior management) is strongly preferred
· Hands-on experience with full-cycle recruiting coordination (job postings, sourcing, screening, scheduling)
· Strong sourcing skills using LinkedIn, job boards, and professional networks
· Understanding of HR processes: onboarding, offboarding, employee documentation, and HR compliance basics
· Experience maintaining HRIS systems and candidate tracking systems (ATS)
· Ability to manage confidential employees and organizational information with discretion
· Familiarity with HR policies, employee lifecycle management, and performance review processes
· Tech-savvy with a quick ability to learn new tools
· Calendar, phone, office administration
· Extremely detail-oriented and talented in planning logistics
· Experience in a fast-paced, growing company (SaaS, consulting, or tech) is a plus
