Description:

The Data Systems Coordinator supports the Data Services team by ensuring accurate, high-quality data processing within the organization’s CRM (Tessitura) and related systems. This role provides cross-functional support to the Cincinnati Symphony Orchestra (CSO), May Festival, and affiliated subsidiaries and partner organizations. Responsibilities include upholding data entry standards, maintaining system integrity, fulfilling reporting requests, and assisting with system configuration and testing.

Through this work, the Data Systems Coordinator plays a key role in advancing the organization’s mission by enabling data-informed decision-making, ensuring reliable reporting, and contributing to exceptional patron and donor experiences.

Responsibilities:

  • Ensure high-quality data entry across all applicable systems following established standards.
  • Perform routine data hygiene tasks such as deduplication, address updates, and record validation.
  • Monitor and escalate data integrity issues as needed.
  • Assist in preparing standardized and ad-hoc reports using Tessitura, Excel and/or other tools.
  • Compile segmented lists for Philanthropy, Marketing, Learning, and partner organizations.
  • Support development of dashboards and visualizations to help departments achieve goals.
  • Fulfill Help Desk requests related to data entry, reporting, list generation, and system use.
  • Process manual gift entry including credit card processing.
  • Support setup tasks for fiscal year changes.
  • Process segmentations for daily emails.
  • Process daily entries as needed.
  • Document processes, update training materials, and support onboarding for new data users.
  • Identify and elevate areas where training or data policy updates could improve accuracy and efficiency.
  • Maintain clear, timely communication with internal stakeholders regarding project status and deliverables.
  • Build positive working relationships with staff and partner organizations.
  • Participate in ongoing learning and professional development opportunities, including utilizing Tessitura Network resources.
  • Reflect the CSO’s mission, vision, and values in your work as well as supporting a respectful organizational culture.
  • Other duties as assigned.

Reports to: Data Services Manager

Requirements:
  • Strong attention to detail with a demonstrated commitment to data accuracy and integrity
  • Excellent organizational and time management skills, with the ability to manage multiple priorities
  • Proficiency in Microsoft Office applications, particularly Excel
  • Ability to quickly learn and consistently apply complex data standards, rules, and workflows
  • Strong written and verbal communication skills, with the ability to effectively support users with varying levels of technical expertise
  • Experience working with CRM or database systems; Tessitura experience strongly preferred
  • Previous experience in arts administration, fundraising operations, or ticketing environments
  • Familiarity with data segmentation, data mining techniques, and permission structures
  • Working knowledge of direct marketing, philanthropy operations, or customer service practices
