Job Summary
The Patient Financial Services (PFS) Office Assistant provides administrative and operational support to the Patient Financial Services department. This position serves as a central point of coordination for incoming correspondence, patient inquiries, billing communications, and general office support functions. The Office Assistant helps ensure efficient workflow by directing information to the appropriate team members, maintaining accurate account documentation, and assisting both onsite and remote billing staff.
Compensation
We are committed to providing wage ranges for all open positions. Please note that the specific compensation for this role will be determined based on experience, education and internal equity considerations. The hourly wage range for this position is $18.74-$26.45. This range reflects the base salary for this position.
Key Accountabilities
- Receive, sort, and distribute incoming mail, faxes and correspondence to the appropriate department or staff member in a timely manner.
- Process outgoing mail, including preparation and mailing of patient refund checks and other departmental correspondence.
- Monitor and manage the Patient Financial Services general billing email inbox.
- Respond to routine patient billing inquiries received by email and direct more complex inquiries to the appropriate billing specialist or department.
- Add, update, and verify insurance information on patient accounts as received through patient communications and supporting documentation.
- Accurately document patient interactions, account updates, and correspondence within the billing system.
- Maintain professional, courteous, and customer-focused communication with patients. This may include incoming patient phone calls and call to insurance representatives, and internal staff.
- Support remote billing staff by printing, mailing, scanning, faxing, and distributing documents as requested.
- Monitor office equipment and supplies, including replenishing printer paper, toner, and other departmental materials as needed.
- Ensure all work is completed timely and in accordance with organizational policies, HIPAA requirements, and confidentiality standards.
- Participate in departmental projects, process improvement initiatives, and other duties as assigned to support organizational goals.
Qualifications
- High School diploma or GED
- 1-2 years of healthcare experience
- Must be able to speak, read, and write English proficiently to ensure safe and effective communication in a healthcare environment
- Experience in office setting, preferred
Schedule
- 80hrs/2wks
- Monday-Friday, 8:00am-4:30pm
- Onsite in Northfield, MN
