Summary:
Vighter LLC is recruiting for an Operations Program Coordinator to support Vighter Operations at our corporate office, located at 10010 San Pedro Avenue, Suite 850, San Antonio, TX 78216.
The Operations Program Coordinator will assist coordinate and track assigned operational projects and initiatives under the direction of the Project Manager and/or Director of Operations. The Program Coordinator will support project planning and execution, monitor schedules and deliverables, maintain project documentation, coordinate communication among internal and external stakeholders, confirm and audit assigned project time cards, and provide timely status reporting. The Program Coordinator will attend meetings and conference calls as necessary and must maintain a high level of professionalism.

Principle Accountabilities:
- Plans and prepares for and participates in project- and operations-based meetings and conference calls.
- Coordinate assigned projects, initiatives, and operational activities as directed by the Project Manager or Director of Operations.
- Maintain exceptional rapport with employees and project stakeholders; facilitate timely communication, provide appropriate resources, and support a high level of morale and open communications.
- Collaboratively establishes project criteria, formulates approaches, defines milestones and deliverables, and evaluates project efforts with the Director of Operations and the Project Manager.
- Identify and promptly notify the Project Manager of project risks, delays, performance concerns, employee events, or other matters that may pose a liability or concern to the company.
- Maintain and update the PM Datasheet in Microsoft OneDrive and other approved project tracking tools to ensure operations and project data are current and accurate.
- Work collaboratively with the Project Manager and project team throughout the entire project lifecycle to maximize productivity and support successful project execution.
- Develop, organize, maintain, and monitor project schedules, action items, milestones, dependencies, and deadlines to ensure deliverables are completed on time.
- Prepare and provide project status updates, reports, meeting notes, action-item summaries, and other verbal or written communications to management and project stakeholders.
- Complete project coordination and administrative tasks including research, analysis, data tracking, document control, reporting, scheduling, and follow-up on assigned action items.
- Maintain organized project records and demonstrate exceptional attention to detail, accuracy, and document control.
- Demonstrate commitment to clients’ needs, contractual requirements, confidentiality, and timely project execution.
- Use personal computer workstations and approved business systems to accurately input, maintain, analyze, and report project and operations data.

- Knowledge of regulations (HIPAA/Privacy Act) regarding the confidentiality of patient medical records and information as well as Personally Identifiable Information (PII).
- Performs other duties that may be assigned from time to time.
Knowledge and Skills:
- Must have exceptional customer service skills.
- Employees shall be technically proficient in the skills necessary to fulfill the job requirements, including ability to speak, understand, read and write English fluently.
- Ability to work in a fast-paced changing environment with limited supervision
- Excellent organizational, scheduling and prioritization skills.
Education:
- High school diploma or equivalent is required.
- Associate’s or Bachelor’s degree in business or administrative field preferred but not required.
Qualifications
- Must have exceptional customer service skills and be proficient in English and Spanish.
- High degree of computer/smart phone skills; Microsoft Office, SharePoint/One Drive and Email.
- Ability to rapidly respond to email, telephone, and text messages as needed.
- Knowledge of regulations regarding the confidentiality of Personally Identifiable Information (PII).
Duty Hours / On-call Requirements:
- Generally speaking, this is a day shift position with some work, mission dependent, at night and on weekends.

- As required to satisfy the contractual obligations. Commuting is non-compensatory. All official travel is government funded.

Physical Requirements:
- Must be able to stand or sit for more than 8 hours per day.
- Must be able to use an elevator or walk up & down stairs.
- Must be able to lift up to 40 pounds and carry up to 10 feet.
- Must be able to routinely grasp or handle objects, use finger dexterity, bend elbows/knees and reach above and below shoulders.
- Must be able to read and interpret handwritten and typewritten print.
- Must be able to communicate by voice and detect sound by ear.
- Must be able to perform duties in an indoor office or outdoor environment.
- Must be able to pass a criminal background investigation.
- Must undergo Urine Drug Screening (UDS).
- Must be a Citizen of the United States or legally authorized to work in the United States of America.
