Practice Manager

Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate's relevant experience. No employee will be paid below the minimum of the range.

Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years. We continue to grow and address the needs of our community through quality and patient-centered care.

Our Urology Practice is seeking a Practice Manager to oversee daily operations of the Urology Department, coordinate and carry out all administrative functions in the office, including but not limited to patient scheduling, patient registration, patient billing, general customer service and general administrative support to physicians and staff.

The overview of responsibilities includes but is not limited to:

  • Department Operations: Oversee daily administrative and clinical operations to ensure efficiency, quality, and compliance with Medical Center policies and budget guidelines.
  • Staff Management: Coordinate staffing schedules, payroll records, onboarding, training, performance evaluations, professional development, and credential maintenance.
  • Leadership & Employee Relations: Promote a respectful, collaborative workplace; communicate expectations, address performance concerns, resolve staff issues, and foster trust and accountability.
  • Patient Check-In: Provide courteous patient reception, verify demographics, insurance and referrals, complete accurate registration, and address patient questions and needs.
  • Patient Check-Out: Collect encounter forms and applicable fees, schedule follow-up appointments and diagnostic services, and accurately enter orders and recall information.
  • Billing & Revenue: Verify and enter patient charges, process daily co-payments, maintain accurate billing documentation, and collaborate with payors to support timely reimbursement.
  • Scheduling & Daily Administrative Support: Manage patient and physician schedules, pre-register appointments, prepare charts and paperwork, maintain physician orders, and manage referrals, no-shows, mail, and records.
  • Communication & Documentation: Answer and route calls, maintain staff meeting minutes and management reports, communicate departmental issues promptly, and maintain accurate patient and departmental records.
  • Quality, Compliance & Resources: Monitor policies and procedures, inventory, departmental budgets, quality improvement activities, statistical reporting, safety, infection control, and regulatory requirements.
  • Professionalism & Customer Service: Demonstrate sound judgment, organization, problem-solving, accountability, confidentiality, integrity, and a commitment to positive patient care and customer relations.


Qualifications:
Education:
Bachelor's Degree or equivalent, relevant experience

Experience: Minimum of 3-5 years of supervisory/management experience in healthcare. A broad knowledge of physician practice management and budget management. Experience working with third party payers and working knowledge of billing processes.

Special Aptitudes & Activities: Strong communication, interpersonal, organizational, computer, typing, transcription, and filing skills, with excellent attention to detail. Ability to accurately follow verbal and written instructions, manage multiple tasks effectively, and maintain accurate and organized work.
