Operations Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for an Operations Specialist based in the United States.

This role supports the planning, coordination, and execution of security, protection, and client operations across a dynamic environment.
You will provide hands-on operational, logistical, research, administrative, and project support across a broad portfolio of engagements.
The position works closely with operations leaders, protective personnel, clients, partners, vendors, and internal stakeholders to ensure requirements are organized and delivered effectively.
You will contribute to executive protection, secure transportation, staffing, travel logistics, credentialing, compliance, and risk mitigation activities.
The role offers significant variety and requires someone who can adapt quickly, exercise sound judgment, and manage competing priorities.
You will also have opportunities to improve processes, strengthen operational scalability, and support special projects and mission-critical assignments.
Domestic and international travel, including periods of remote and on-call support, are integral parts of this opportunity.

Accountabilities
  • Support the planning, coordination, and execution of client security, executive protection, secure transportation, protective operations, and internal operational activities.
  • Assist with protective staffing by researching, sourcing, scheduling, vetting, and coordinating personnel, partners, and operational resources.
  • Maintain partner and vendor information, including capabilities, geographic coverage, availability, credentials, and relevant operational details, while developing productive professional relationships.
  • Conduct advance work and prepare operational briefings, recommendations, documentation, and other materials for protective teams and clients.
  • Coordinate operational requirements before, during, and after assignments with clients, protective personnel, partners, vendors, and internal stakeholders.
  • Provide remote, after-hours, weekend, and on-call operational support when required, including monitoring active assignments, resolving issues, and coordinating resources.
  • Support surveillance, investigative-related activities, security assessments, risk mitigation projects, and other specialized operational requirements as assigned.
  • Conduct operational research and contribute to the development, implementation, and continuous improvement of processes, procedures, resources, and documentation.
  • Coordinate domestic and international travel logistics, including transportation, lodging, itineraries, staffing, equipment, events, and other operational requirements.
  • Provide in-person and client-facing support at meetings, events, and engagements, and coordinate with field personnel and external stakeholders to ensure effective execution.
  • Assist with cost estimates, expenses, invoices, operational documentation, project tracking, deliverables, presentations, reports, proposals, and briefing materials.
  • Support multi-state security licensing, credentialing, vetting, and compliance activities while maintaining accurate and confidential records.
  • Build strong working relationships with clients, protective personnel, partners, vendors, client security teams, law enforcement, public safety agencies, and other stakeholders when appropriate.
  • Assist Operations leadership with administrative, project-based, and overflow responsibilities, particularly during periods of increased operational demand.
  • Safeguard sensitive client, personnel, and operational information and ensure all activities follow established policies, procedures, and professional standards.
  • Attend relevant training programs, conferences, seminars, and industry events to maintain and strengthen operational expertise.
Requirements
  • At least 5 years of relevant experience in executive protection, protective operations, corporate security, law enforcement, military operations, security operations, or a related field.
  • Demonstrated experience supporting protective assignments, advance work, secure transportation, protective staffing, security logistics, or comparable operational activities.
  • Experience coordinating personnel, partners, vendors, travel, equipment, or other operational resources.
  • Client-facing experience within a security, executive protection, or protective services environment is highly preferred.
  • Experience with security licensing, credentialing, regulatory compliance, operational recordkeeping, or related administrative processes is preferred.
  • Experience conducting operational research, supporting process improvements, or managing special projects is desirable.
  • Active security, law enforcement, military, executive protection, or related professional certifications are highly desirable.
  • A bachelor's degree is highly desired.
  • ASIS CPP, PCI, or PSP certification is highly desired.
  • Strong organizational and time-management skills, with the ability to prioritize competing demands and consistently meet deadlines.
  • Exceptional attention to detail, accuracy, discretion, and professional judgment, particularly when handling confidential or sensitive information.
  • Excellent written, verbal, and interpersonal communication skills, with a strong client-service orientation.
  • Strong analytical, research, reasoning, and problem-solving abilities, including the capacity to synthesize information into clear and actionable recommendations.
  • Ability to remain adaptable and effective in fast-paced environments where priorities can change quickly.
  • Proactive, solutions-oriented mindset with an interest in identifying process improvements and creating more efficient, scalable operational practices.
  • Familiarity with executive protection operations, advance planning, secure transportation, protective staffing, security logistics, risk mitigation, and applicable compliance requirements.
  • Ability to maintain situational awareness and exercise sound judgment during active operations.
  • Strong ability to build and maintain effective relationships across clients, partners, vendors, field personnel, and internal teams.
  • Proficiency with Microsoft Office, particularly Outlook, Word, Excel, and PowerPoint; working knowledge of project-management platforms is preferred.
  • Ability to perform the essential functions of the position with or without reasonable accommodation.
  • Willingness and ability to travel approximately 30–50%, depending on client needs, operational tempo, internal requirements, conferences, and events.
  • While the position is remote, candidates located in Washington, California, or New York are particularly encouraged to apply.
  • Ability to work extended periods while standing, sitting, or moving, with occasional exposure to varied or extreme environmental conditions.
