We are a non-denominational, coeducational Christ-centered school in NE Albuquerque, serving families of children from preschool to high school. Since its founding in 1976, Hope Christian School has prayed for, equipped, and sent nearly 3,000 graduates to change the world. Annually, Hope Christian School educates approximately 1,400 students from Preschool through 12th grade. Terms: Full Time, 9-Months

Job Summary: The High School Administrative Assistant provides comprehensive administrative, clerical, and front office support to ensure the efficient daily operation of the High School. This position serves as administrative support to High School administration while assisting students, families, and staff in a professional and service-oriented manner.

All administrative staff will be cross-trained; however, primary responsibilities for this role are outlined below.

Essential Functions:

Front Office & Student Support

  • Greet and assist students, parents, staff, and visitors in a professional and courteous manner
  • Manage student check-in and check-out procedures in accordance with school policies
  • Monitor attendance, tardies, and early dismissals; maintain accurate records
  • Answer phones, respond to emails, and direct inquiries appropriately
  • Serve as a point of contact for high school families

Administrative & Clerical Support

  • Provide administrative support to the High School Principal and administration
  • Prepare correspondence, reports, schedules, and meeting materials
  • Maintain student, staff, and school records in compliance with confidentiality and FERPA requirements
  • Assist with student enrollment, withdrawals, transcripts, and records management
  • Manage calendars, appointments, and meeting logistics
  • Support documentation related to academic and student services

Graduation Coordination

  • Coordinate all logistical planning and administrative details related to High School Graduation
  • Work with school leadership to establish timelines, checklists, and event plans
  • Manage graduation orders (caps, gowns, programs, awards, diplomas, and related materials)
  • Coordinate venue logistics, seating charts, rehearsal schedules, and ceremony flow
  • Communicate graduation information clearly and consistently to seniors and families
  • Verify graduate eligibility in collaboration with administration
  • Assist with awards recognition and commencement program preparation

School Operations & Communication

  • Assist with the planning and coordination of school events, meetings, testing, and activities
  • Communicate school information clearly and professionally to families and staff
  • Maintain office supply inventory and submit purchase requests as needed
  • Submit facilities or maintenance requests as appropriate
  • Support general campus administrative needs as directed

  • Support and uphold the school’s mission, policies, and standards of conduct
  • Maintain confidentiality and handle sensitive information with discretion
  • Follow all school procedures, safety protocols, and applicable regulations
  • Assist with emergency procedures and campus operations as assigned
Requirements:
  • Have received Jesus Christ as Savior and Lord
  • Believe that the Bible is God’s Word and standard for faith and daily living.
  • High school diploma required; associate or bachelor’s degree preferred
  • Minimum of 2–3 years of administrative experience, preferably in a school setting
  • Strong organizational, event coordination, and communication skills
  • Proficiency in student information systems and Microsoft or Google platforms
  • Ability to manage multiple projects and deadlines with accuracy and professionalism

Work Expectations

  • Reports directly to the High School Principal.
  • Serves as a professional and service-oriented point of contact for parents, employees, visitors, and vendors.

  • Maintains strict confidentiality of student, and family information.
  • Works collaboratively with other departments throughout the school.
  • Demonstrates professionalism, reliability, responsiveness, and a commitment to excellence.
  • Maintains a polished and professional appearance and demeanor appropriate for a highly visible position within the school community.
