Job Description
Graduate Medical Education (GME) Institutional Administrator
$109,999 - $115,000 a year
Akicita Federal is hiring a GME Institutional Administrator to support graduate medical education compliance, accreditation, and operations for the NIH Clinical Center the nation's premier biomedical research hospital in Bethesda, MD. In this role, you will serve as the principal administrative partner to the Designated Institutional Official (DIO), ensuring that 24 ACGME-accredited residency and fellowship programs and numerous non-standard training programs meet rigorous institutional standards. Your work directly supports the physician-scientists who advance biomedical research and deliver high-quality care to Clinical Center patients.
- Coordinate all ACGME institutional accreditation activities, including Annual Updates in the Accreditation Data System (ADS), new program applications, complement change requests, site visit preparation, and Self-Study processes.
- Plan, schedule, and facilitate monthly Graduate Medical Education Committee (GMEC) meetings including preparing agendas, compiling supporting materials, recording official minutes, tracking action items, and supporting all GMEC subcommittees.
- Lead the Annual Institutional Review (AIR) process by collecting performance indicators, compiling resident and faculty survey data, preparing accreditation summaries, and tracking institutional action plans and quality improvement initiatives.
- Manage Clinical Fellow onboarding end-to-end, coordinating across HR, Credentialing, Security and Badging, Benefits, Payroll, the Division of International Services, and NIH Institutes and Centers to ensure timely appointment and orientation.
- Maintain and update institutional GME policies and procedures, Agreements of Appointment templates, and governance documentation in alignment with current ACGME Institutional Requirements and NIH standards.
- Administer and provide institutional-level support for the GME trainee software platform, arrange user training, and ensure all data is maintained securely and in compliance with NIH privacy requirements.
- Lead a forum for GME Program Coordinators across NIH Institutes and Centers, providing ongoing support, training, and coordination to strengthen the broader GME administrative community.
- Demonstrated experience in graduate medical education administration, academic medical center operations, or a closely related institutional administrative role.
- Working knowledge of ACGME Institutional Requirements and accreditation processes, including familiarity with the Accreditation Data System (ADS) and GMEC governance responsibilities.
- Experience coordinating committee operations, including agenda preparation, minute-taking, action item tracking, and records management for a formal governing body.
- Strong organizational skills with the ability to manage multiple concurrent deadlines across accreditation cycles, onboarding timelines, and policy review schedules.
- Proficiency with GME trainee management software platforms (e.g., New Innovations, MedHub, or equivalent) for record-keeping and evaluation management.
- Experience coordinating onboarding or appointment processes in a large, multi-stakeholder institutional environment involving HR, credentialing, benefits, and compliance offices.
- Ability to develop and maintain standardized workflows, administrative processes, and continuous quality improvement initiatives.

- Prior experience serving as a GME Institutional Administrator or in a DIO-support role within a Sponsoring Institution, academic medical center, or federal healthcare environment.
- Familiarity with NIH, federal agency, or government hospital administrative processes, including coordination across multiple Institutes and Centers.
- Experience supporting ACGME site visits, Institutional Self-Studies, Special Reviews, or responding to ACGME Review Committee findings.
- Demonstrated ability to develop and facilitate training programs or coordinator forums across a distributed, multi-program GME enterprise.
- Background working with international trainees or with the Division of International Services in the context of fellow onboarding and appointment.
