About the Role
As the frontline of Three Rivers Therapy, our receptionist plays a vital role in creating a warm, and welcoming environment that supports both patients and staff. By coordinating patient care and managing scheduling, you ensure smooth daily operations and help reduce stress for those seeking our services.

What You'll Do
- Deliver exceptional customer service by warmly greeting patients and visitors in person and on the phone, establishing a welcoming and professional first impression.
- Coordinate patient care by managing appointment scheduling, cancellations, and rescheduling using practice management software.
- Collect, verify, and update patient insurance information; assist patients with insurance questions and ensure accurate insurance billing details.
- Apply copayments and process payments accurately at check-in or check-out.
- Maintain and update patient records, ensuring confidentiality and compliance with HIPPA regulations.
- Answer incoming calls promptly, directing inquiries to appropriate staff and providing basic information about services and office protocols.
- Assist patients with completing required intake forms, consents, and other documentation.
- Collaborate effectively with clinical and administrative teams to ensure seamless patient flow and timely communication of patient needs.
- Address patient concerns and complaints with empathy and professionalism, escalating issues as appropriate.
- Participate in training and development opportunities to stay current with office procedures, technologies, and customer service best practices.
- Perform additional duties as assigned to support overall office efficiency and enhance the patient experience.

Working Conditions
The employee works primarily in a professional office and clinical environment with moderate noise levels and regular interaction with patients, families, visitors, and staff. Physical Requirements
This position requires the ability to sit, stand, and walk throughout the workday, as well as use hands and arms for routine office and administrative tasks. The role may occasionally require reaching, bending, stooping, kneeling, or climbing. The employee may frequently lift and/or move items weighing up to 10 pounds and occasionally lift and/or move items weighing up to 50 pounds.
The position requires the ability to communicate verbally, hear, and perform tasks requiring close, distance, peripheral, and depth vision, as well as the ability to adjust focus. Repetitive use of the hands, wrists, and fingers may be required.

Requirements:What You'll Bring To perform this job successfully, an individual must meet the minimum qualifications listed below. These qualifications are representative of the knowledge, skill and/or ability required to perform this job.
Level I
- High School Diploma or GED required.
- Demonstrated excellence in customer service with strong interpersonal and communication skills.
- Comfortable working in a fast-paced environment with strong organizational and multitasking abilities.
- Ability to work flexible hours (evenings, nights, weekends)
- Possess good written and verbal communication skills and excellent documentation skills.
- Ability to work independently and as a team member.
- Ability to represent the agency in a professional manner within the community and develop collaborative community relationships.
- Proficiency in MS Office and basic office technologies.
Level II Level II candidates must meet all Level I qualifications, in addition to the following:
- Minimum of 2 years of relevant experience in a healthcare or medical office setting required.
- Experience building supportive relationships with children, youth, and families.
- Familiarity with community resources and services that support youth and families.
Preferred Qualifications
- Bilingual proficiency in Spanish, Russian, or Ukrainian preferred
- 2+ years of relevant experience in a healthcare or medical office setting preferred.

Level II starting at $24.77
