Job Description
Job Summary: This position provides comprehensive administrative support across multiple entities within a small-office environment, independently managing a broad range of functions including Human Resources, Accounting, General Affairs, and Facility Management. The role requires a seasoned generalist who can operate autonomously, prioritize effectively across multiple disciplines, and serve as the primary administrative point of contact for the supported entities.
Key Responsibilities include the following (other duties may be assigned as needed):
- Support full-cycle recruiting, onboarding, and offboarding; maintain employee records and attendance; coordinate payroll and benefits administration; and support HR policy compliance and employee relations.
- Process accounts payable/receivable, invoices, and employee expense reports; manage petty cash; track budgets; and assist with monthly closing in coordination with corporate finance.
- Manage office supplies and purchasing; oversee vendor relationships (cleaning, landscaping, pest control); administer company vehicles, cell phones, and assets; and coordinate company events and travel arrangements.
- Coordinate building maintenance, repairs, and service contracts; oversee office safety and security systems (CCTV, access control); and manage space, utilities, and general facility upkeep.
- Provide administrative support across multiple entities, coordinating HR, accounting, general affairs, and facility-related activities as needed.
Qualifications:
Education and Experience:
- Bachelor’s degree or higher required.
- Minimum 10 years of progressive experience across administrative functions such as Human Resources, Accounting, General Affairs, and/or Facility Management.
- Demonstrated ability to independently manage multiple functions in a small-organization or generalist setting.
Skills and Competencies:
- Excellent verbal and written communication skills, with the ability to work independently and interface effectively across all levels of the organization.
- Strong organizational, multitasking, and prioritization skills.
- Proficiency in Microsoft Office (Excel, Word, PowerPoint) and familiarity with business/ERP systems.
- High level of discretion and integrity in handling confidential HR and financial information.
- Self-motivated and adaptable, comfortable owning diverse responsibilities with minimal supervision.
Working Conditions: This position typically operates in an office environment. Occasional travel may be required for recruitment events or training sessions.
Physical Requirements:
- Ability to sit for extended periods while working at a computer.
- Occasional lifting of items up to 20 lbs.
- Frequent walking, standing, and bending as needed to perform duties.
Remote Work: Salaried Exempt, Full-Time. Not Eligible for Hybrid Remote Work Schedule.
