Location: FIFA Fan Fest VOC
The Administrative Support Specialist owns day-to-day workforce reconciliation and scheduling integrity in the Rippling system, serving as the operational link between scheduling, timekeeping, and the field operations team at the VOC. This role keeps schedules accurate, resolves timekeeping discrepancies, and ensures shifts stay covered.
Key Responsibilities:- Rippling Reconciliation: Perform daily reconciliation in the Rippling system; partner with the Organizational Development (OD) support team to identify and resolve any discrepancies or system issues.
- Schedule Management: Update schedules in Rippling whenever shift changes occur, ensuring records reflect actual coverage.
- Timecard Resolution: Identify and correct errors on timecards, working with employees and the OD support team as needed.
- Shift Coverage: Receive callouts (sick calls) by phone and coordinate replacement coverage to fill open shifts promptly.
- Equipment & Forms Readiness: Ensure required equipment and forms are prepared and available for the operations team.
- General Administrative Support: Perform other administrative duties as needed to support security operations, including answering phones and directing inquiries, logging and tracking shift data, maintaining sign-in/sign-out records, filing and organizing documentation, preparing daily reports for the Operations Manager, supporting check-in of field personnel, and other tasks as assigned.
A few training sessions will be required, some of which may be virtual. These sessions may require the person to start earlier than the standard shift time.
Qualifications:- Proficiency with computers and standard office applications required.
- Experience with the Rippling system — or a comparable scheduling/workforce application — is a strong plus.
- Strong attention to detail, reliability, and the ability to act quickly on time-sensitive coverage needs.
- Clear communication skills and a collaborative, problem-solving approach.
