The Warehouse & Inventory Specialist is responsible for maintaining OPT's parts supply chain from procurement through truck-level inventory. This includes daily replenishment lists, kit builds and restocking, parts runs to vendors, purchase order processing, special order management, truck inventory resets, new truck setup, and supporting accurate pricebook and financial documentation. This role works closely with the Warehouse Operations Coordinator and field technicians to ensure parts availability never becomes a barrier to job completion.Core Responsibilities & Performance StandardsDaily Replenishment & Kit Management

Position SummaryThe Warehouse & Inventory Specialist is responsible for maintaining OPT's parts supply chain from procurement through truck-level inventory. This includes daily replenishment lists, kit builds and restocking, parts runs to vendors, purchase order processing, special order management, truck inventory resets, new truck setup, and supporting accurate pricebook and financial documentation. This role works closely with the Warehouse Operations Coordinator and field technicians to ensure parts availability never becomes a barrier to job completion.Core Responsibilities & Performance StandardsDaily Replenishment & Kit Management
- Generate and work replenishment lists daily
- Complete daily kit inventory and restocking; send daily usage log to Accounts Receivable for same-day cost tracking
- Prepare Weekend Kit Support setup each week
- Generate Truck Replenishment Lists daily
- Execute daily parts runs to vendors as needed
- Process and fulfill special order parts requests as submitted by technicians
- Update Special Order Tracker same day or as needed
- Monitor all technician and company chats and respond promptly
- Update and receive purchase orders daily in ServiceTitan
- Perform daily pricebook updates in ServiceTitan
- Receive emailed invoices (rentals, sub-contractors, etc.) and respond accordingly
- Upload credit card receipts to HubDocs daily
- Send a weekly Kit Usage Report summary to the Finance Specialist, separate from the daily AR usage log above — this weekly report rolls up trends for budgeting rather than daily transaction tracking
- Conduct truck inventory resets as needed [Final scope/frequency of this section to be confirmed by supervisor]
- Conduct truck equipment inventory reset as required
- Barcode all new parts before placement in warehouse
- Maintain accurate bin location records in inventory management system
- When an employee separates from OPT, clean the vacated truck to company standards
- Pull and document all inventory from the departing employee's truck
- Count all returned materials and reconcile against the truck's approved parts list
- Restock the truck with verified materials so it is ready for the next assigned employee
- Prepare newly purchased trucks for field deployment following the approved planogram and parts list
- Stock each truck to the correct inventory level based on its designated truck type: Service, Sales, Install, Drain, or Trenchless
- Verify all required equipment, materials, and consumables are in place before the truck is cleared for field use
- Coordinate with the Warehouse Operations Coordinator to confirm readiness sign-off
- Ensure the Equipment Check-Out SOP is followed by all employees accessing shared tools and equipment
- Monitor equipment sign-out sheets daily and flag any missing or overdue items to the supervisor
- Report damaged, missing, or non-compliant equipment immediately
- Conduct weekly warehouse cycle counts
- Process and document all material returns
- Manage cardboard breakdown and recycling
- Coordinate water heater disposal per schedule
- Coordinate stock replenishment with Warehouse & Field Support Specialist
- Re-organize warehouse inventory sections as needed
- Add and update bin locations
- Participate in nightly security walk
- Take trash and recycling out on assigned days
- Ensure facility is secured before departure each evening
Compensation & Benefits
- Base Pay: $22-25/hr.
- Schedule: Monday–Friday, with flexible availability as needed.
