About this Role:
We are seeking a skilled Compliance Coordinator/DER to support and maintain regulatory compliance across company operations, ensuring adherence to applicable FAA regulations, internal policies, and industry standards. This role assists with audits, documentation control, recordkeeping, policy updates, and cross-functional coordination to help maintain operational integrity and readiness across all departments. This position will also oversee required pre-employment regulatory screenings, drug and alcohol program administration, and serve as the company’s Designated Employer Representative (DER).
Location: Orlando, Florida
Schedule: Monday – Friday in office
Key Duties and Responsibilities
- Maintain and organize compliance records, manuals, certifications, and required regulatory documentation
- Assist in preparation for internal, external, FAA, ARGUS, and customer audits
- Track corrective actions and ensure follow-up items are completed within required timelines
- Coordinate revisions and controlled distribution of company manuals, policies, and procedures
- Monitor changes in applicable regulations and communicate updates internally
- Administer 49 CFR Part 40.25 employment verification process, including drug and alcohol testing history requests for safety-sensitive employees
- Coordinate FAA, TSA, and airport badging requirements including fingerprinting, background screening, and credentialing
- Oversee company compliance with 14 CFR Part 120 / DOT drug and alcohol testing program requirements
- Serve as company Designated Employer Representative (DER)
- Coordinate random, pre-employment, post-accident, reasonable suspicion, return-to-duty, and follow-up testing
- Maintain confidential drug and alcohol testing records
- Coordinate with TPAs, collection sites, and MROs
- Partner with Operations, Maintenance, Safety, HR, and Training departments
Performs other duties as assigned
Minimum Qualifications
- 2+ years of compliance, aviation administration, quality assurance, or regulatory support experience preferred
- Knowledge of FAA regulations (Part 91 / Part 135 / Part 145 preferred)
- Working knowledge of DOT drug and alcohol testing regulations (49 CFR Part 40 and FAA Part 120 preferred)
- Strong organizational and documentation control skills
- Excellent written and verbal communication abilities
- High attention to detail and ability to manage confidential information
- Proficient in Microsoft Office Suite, especially Excel and Word
- Ability to prioritize deadlines and work independently
- Experience handling confidential employment eligibility, fingerprinting, and regulatory screening records preferred
- Ability to serve in a regulatory-facing role requiring discretion, accuracy, and strict adherence to deadlines
- DER experience strongly preferred or willingness to complete DER training upon hire
Physical Requirements
- Ability to sit for extended periods while working on a computer
- Ability to use standard office equipment including computers, phones, and printers
- Ability to occasionally stand, walk, bend, or reach while organizing records or assisting with audits
- Ability to lift and carry up to 20–25 pounds (files, manuals, office supplies)
- Ability to move between office areas, training rooms, and aircraft hangars as needed
- Ability to read and interpret printed and digital documentation
- Ability to communicate clearly in person, via phone, and electronically
