MendenFreiman, LLP is seeking a Front Desk Receptionist to serve as a welcoming face of our firm. Core Responsibilities
Front Desk & Client Experience
• Serve as the first point of contact for all clients and visitors
• Greet and escort guests to conference rooms; offer coffee, tea, or other refreshments
• Answer and direct incoming calls, including handling attorney specific call routing and transfers to extensions or voicemail as appropriate
• Maintain a clear understanding of call handling protocols per attorney
• Manage conference room schedules and coordinate meeting setup, including Zoom and in room technology
• Send daily internal communications outlining next day meetings, PTO, and office notices
• Assist the Administrative Assistant with creating, maintaining, and consistently following front desk Standard Operating Procedures (SOPs) and step by step how to guides to ensure consistency and continuity of front desk operations
Mail & Deliveries
• Receive, sort, and distribute all incoming mail and packages
• Identify and route mail appropriately, including items addressed to entities or specific practice groups
• Coordinate outgoing mail and ensure timely drop off
• Maintain a clear, consistent process for handling and tracking mail and deliveries
Office Supplies & Vendor Coordination
• Monitor and maintain office, kitchen, and beverage inventory
• Ensure common areas, including kitchen and supply spaces, remain stocked and organized
• Work closely with the Administrative Assistant or Director, Firm Administration to place orders with approved vendors (office supplies, coffee, water, etc.) and track deliveries
• Collaborate on maintaining and updating a centralized vendor list and documented ordering procedures
Meetings, Food Orders & Events
• Coordinate food ordering for internal meetings, practice group lunches, and firm events
• Maintain a list of preferred restaurants and prior orders for efficiency
• Handle setup and breakdown for meetings and events
• Communicate with attendees regarding timing and logistics
• Support light event coordination, including ordering basic supplies as needed

Requirements
• In-office attendance required
• Strong attention to detail, initiative, and a positive, professional attitude
• Ability to manage multiple tasks and priorities while maintaining a high level of accuracy and organization
• Excellent verbal and written communication skills, with the ability to interact professionally with clients, attorneys, and staff at all levels of the Firm
• Proficiency in Microsoft 365applications
• Strong customer service skills and a commitment to delivering an exceptional client experience
• Previous administrative experience preferred, ideally within a law firm or other professional services environment
• Bachelor’s degree preferred
