What we're looking for

The Project Administrator for National Accounts is an entry-level execution role that supports project delivery through accurate order entry, documentation management, and task tracking. This role focuses on learning systems, following established processes, and supporting Project Coordinators and Team Leads to ensure accurate, timely execution for national account customers.

This position builds foundational knowledge of project workflows, systems, and customer expectations, serving as an entry point into the Project Management and Operations career paths.

What you will be doing as a key player on our dynamic team:

  • Execute defined administrative and order-entry tasks accurately and on time following standard operating procedures.
  • Maintain accurate project documentation and tracking across ERP and project tools.
  • Support Project Coordinators by preparing data, verifying information, and flagging discrepancies.
  • Review, clarify, and confirm customer material requests under the guidance of Project Coordinators, ensuring all details are accurate before processing.
  • Communicate clearly with team members through email, phone, and in-person interactions, following direction from Project Coordinators and Team Leads.
  • Follow established processes and escalate execution issues rather than resolving outside of defined authority.
  • Proactively manage a queue of customer requests, prioritizing work to meet deadlines and coordinating with team members as needed.
  • Support material pricing accuracy by verifying data and flagging discrepancies to ensure alignment with customer agreements.
  • Utilize client-specific web portals for data access and entry as directed, maintaining confidentiality and accuracy.
  • Build knowledge of lighting and electrical products, learning to cross-reference materials and match specifications through training and desktop research.
  • Assist with filing material claims for warranty support and preparing documentation for customer sharing.
  • Participate in training opportunities to develop material knowledge, system proficiency, and customer service skills.
  • Work as a team player, jumping in to help others as needed and contributing to collective success.
  • Maintain professional relationships that reflect the company's mission, vision, and values.

Experience:

  • 0–2 years of experience in an administrative, operations support, customer service, or project support role.
  • Experience working in a structured, professional office or hybrid environment supporting defined workflows and deadlines.
  • Exposure to order entry, data validation, documentation management, or customer request handling preferred.
  • Experience supporting internal teams by managing tasks, tracking status, and following established processes.
  • Background in electrical distribution, lighting, construction, facilities, or trade-adjacent environments is a plus.

  • Attention to Detail: Strong focus on data accuracy, documentation quality, and completeness of information before processing.
  • Learning Orientation: Willingness to build product knowledge, system proficiency, and understanding of project workflows through training and hands-on experience.
  • Team Collaboration: Ability to work collaboratively, support teammates, and contribute positively to team performance and shared goals.

Education, Certifications & Technical Skills:

  • High school diploma required; Associate or Bachelor’s degree in Business, Operations, Construction Management, Supply Chain, or a related field is a plus.
  • Electrical trade exposure, construction experience, or field-based industry experience is valued when paired with office-based execution experience.
  • Comfort working in a professional office environment using structured systems and documentation.
  • Working knowledge of Microsoft Office (Excel, Outlook, Word).
  • Ability to learn ERP systems, project tracking tools, and client-specific web portals used to support project execution.

Equivalent combinations of education, certifications, and professional experience will be considered.

Essential Job Functions:

  • Lifting/Carrying: Occasionally required to lift and carry office materials, files, or supplies weighing up to 20 pounds.
  • Sitting/Standing/Walking: Prolonged periods of sitting at a desk using a computer; occasional standing, walking, or moving between departments.
  • Reaching/Handling: Regular reaching, grasping, and handling of office materials; frequent use of hands and fingers for keyboarding, writing, filing, and operating office equipment.
  • Vision: Specific vision abilities include close vision and the ability to adjust focus, necessary for reading documents, using a computer, and reviewing order details.
  • Hearing/Speaking: Ability to communicate clearly and effectively in person, by phone, and in virtual meetings; ability to hear instructions and interact with team members.
  • Environmental Conditions: Work performed primarily in a professional office environment with minimal exposure to adverse conditions. May occasionally visit warehouse or other company facilities.
  • PPE Use: Generally not required; however, may occasionally be necessary depending on location (e.g., close toed shoes, high-visibility vest when visiting the warehouse).
