Real Estate Conveyancer & Transaction Coordinator
Royal LePage Magna is seeking an experienced, detail-oriented Real Estate Conveyancer to support our Edmonton brokerage. This position plays a vital role in keeping residential and commercial transactions organized, accurate, and on schedule from accepted agreement through closing and final file reconciliation.
You will coordinate transaction documentation, monitor conditions and deadlines, maintain complete brokerage records, and prepare conveyancing instructions and commission documentation. Working closely with REALTORS, brokerage leadership, lawyers, lenders, and administrative staff, you will identify missing information, resolve discrepancies, and ensure timely communication throughout the closing process.

Compensation:$35,000 - $50,000 yearly
Responsibilities:
Responsibilities — Real Estate Conveyancer
Manage residential and commercial transaction files from accepted agreement through closing and final reconciliation, following Royal LePage Magna’s brokerage procedures and documentation standards.
Review contracts and supporting documents for completeness and consistency, including purchase agreements, listing documents, amendments, condition removals, and disclosures. Flag missing signatures, discrepancies, or concerns for the responsible REALTOR® and broker.
Prepare and distribute conveyancing instructions and transaction packages to lawyers and other authorized parties, ensuring information is accurate, complete, and delivered on time.
Monitor critical dates and outstanding requirements, including deposit deadlines, condition dates, possession dates, and closing dates. Provide timely reminders and escalate unresolved issues to the appropriate person.
Coordinate deposit documentation and tracking with authorized brokerage personnel, confirming receipts and maintaining supporting records in accordance with brokerage trust-account procedures.
Prepare and verify commission documentation, including commission calculations, agent splits, referral fees, applicable taxes, and approved deductions, using signed agreements and brokerage instructions.
Coordinate closing confirmation and commission reconciliation, following up on outstanding payments and documentation and supporting authorized personnel with commission disbursements.
Maintain accurate transaction records in the brokerage’s approved conveyancing, accounting, and document-management systems, ensuring files are organized, current, and readily accessible.
Serve as a central point of communication for transaction administration, working professionally with REALTORS®, brokerage leadership, lawyers, lenders, cooperating brokerages, and administrative staff.
Support brokerage compliance reviews by completing established file checklists, tracking required documentation, and referring compliance questions or exceptions to the broker.
Assist with applicable FINTRAC documentation and recordkeeping under the direction of the brokerage’s designated compliance officer, flagging missing information and following established procedures.
Protect confidential client and brokerage information through secure document handling, appropriate access controls, and adherence to brokerage privacy policies.
Prepare transaction status and exception reports for brokerage leadership, identifying upcoming closings, incomplete files, outstanding commissions, and matters requiring attention.
Maintain complete, audit-ready closed files according to brokerage retention requirements and assist with internal reviews, audits, and document retrieval.
Improve administrative processes and provide consistent agent support, identifying recurring issues, recommending practical improvements, and helping REALTORS® follow brokerage submission procedures.
Coordinate new agent onboarding, ensuring required onboarding documents are completed, system access is arranged, and agents receive a clear introduction to Royal LePage Magna’s brokerage procedures, transaction workflows, file submission requirements, and administrative contacts.
Train new agents on their daily priority checklist, covering lead follow-up, prospecting, CRM updates, client communication, appointment preparation, transaction deadlines, and outstanding paperwork. Explain brokerage expectations, confirm agents understand the checklist, and provide follow-up support to help them establish consistent daily habits.
Qualifications:
Applicants from different experience levels are welcome, including experienced real estate administrators, legal conveyancing professionals, students, and recent graduates who demonstrate strong organizational skills, accounting aptitude, and a willingness to learn.
Previous real estate brokerage, legal conveyancing, accounting, bookkeeping, or administrative experience is an asset, but is not required. Candidates with transferable skills and strong learning potential are encouraged to apply.
Education or current studies in accounting, business administration, finance, legal administration, or a related field are preferred. Equivalent practical experience will also be considered.
Lone Wolf software knowledge is strongly preferred. Applicants without previous experience must be comfortable learning brokerage accounting and transaction-management software through structured training.
Strong numerical skills and an understanding of basic accounting principles, with the ability to learn commission calculations, referral fees, agent deductions, GST calculations, accounts receivable and payable, and reconciliations.
Exceptional attention to detail when reviewing documents, including the ability to check names, signatures, initials, dates, property information, financial terms, attachments, and consistency across related paperwork.
Ability to learn real estate conveyancing and transaction procedures, including contract documentation, amendments, condition removals, deposit tracking, closing deadlines, lawyer instructions, and commission processing.
Commitment to maintaining complete, audit-ready files, ensuring required documents and supporting records are checked against brokerage checklists, accurately filed, and readily available for review.
Sound judgment when identifying missing information or discrepancies, with the discipline to seek clarification and refer legal, contractual, accounting, or compliance concerns to the appropriate authorized person.
Ability to learn and follow brokerage compliance, privacy, and recordkeeping procedures, including applicable FINTRAC documentation requirements and approved trust-account processes.
Strong computer skills, including Microsoft Office or Google Workspace, email, shared calendars, digital filing, PDF tools, and electronic signature platforms.
Proficiency in Excel or Google Sheets is an asset, particularly for tracking transactions, checking calculations, organizing financial information, and preparing reports.
Excellent organizational and time-management skills, with the ability to manage competing priorities, follow checklists, meet deadlines, and maintain accuracy in a busy brokerage environment.
Clear, professional written and verbal communication, with the confidence to request missing paperwork, follow up on outstanding items, and communicate respectfully with agents, lawyers, lenders, and colleagues.
A proactive approach and strong personal accountability, demonstrated through reliable follow-through, punctuality, ownership of assigned tasks, and prompt communication when assistance is needed.
Ability to handle confidential information with discretion, including client identification, banking details, contracts, agent compensation, and brokerage financial records.
Willingness to support new agent onboarding and training, and, once proficient in brokerage procedures, explain system use, document submission requirements, and daily priority checklists clearly.
A positive attitude toward coaching and continuous learning, with the ability to apply feedback, retain new information, and steadily build independence and proficiency.
