Job Title: Shipping & Receiving Specialist

Pay Range: $55,000 - $75,000 per year

About the Role

Espey is seeking a detail-oriented and dependable Shipping & Receiving Specialist to support the accurate receipt, storage, packaging, inventory control, and shipment of power electronic components. This position plays a critical role in ensuring products are packaged and shipped in accordance with customer specifications, military standards, and regulatory requirements while maintaining inventory accuracy and supporting on-time delivery in a highly regulated manufacturing environment.

Key ResponsibilitiesShipping & Logistics
  • Prepare domestic and international shipments in accordance with customer specifications and military packaging requirements, ensuring high-quality protective packaging throughout transit.

  • Coordinate shipments through customer portals, approved carriers, freight providers, and government inspectors.

  • Generate shipping labels, bills of lading, packing lists, export documentation, and other required shipping records.

  • Determine the most efficient and cost-effective transportation methods and routing.

  • Process shipments and maintain shipping supply inventory using ERP and shipping software systems.

  • Audit freight bills prior to approval for payment.

  • Investigate and resolve shipping discrepancies, damaged shipments, freight claims, shortages, and overcharges.

  • Develop and implement improved packaging designs and techniques to enhance product protection and shipping efficiency.

Inventory & Warehouse Operations
  • Receive, inspect, and process incoming materials in accordance with company procedures.

  • Perform inventory transactions including receiving, transfers, cycle counts, and inventory adjustments.

  • Assist with physical inventory counts and ongoing cycle count activities.

  • Report and resolve inventory discrepancies and damaged materials promptly.

  • Maintain inventory accuracy through proper documentation and system transactions.

  • Maintain a clean, organized, and safe shipping and receiving environment.

Quality, Compliance & Safety
  • Maintain compliance with AS9100, customer-specific requirements, and company quality procedures.

  • Follow all export control regulations, including ITAR and EAR requirements, when handling controlled products and documentation.

  • Own and administer the company Crane and Forklift Operator Certification Program, ensuring OSHA-compliant training, operator evaluations, certification records, recertification schedules, and adherence to company safety policies.

  • Support continuous improvement initiatives designed to increase efficiency, accuracy, and operational effectiveness within the Shipping & Receiving department.

Required Qualifications
  • High School Diploma or GED equivalent.

  • Minimum of three (3) years of shipping and receiving or warehouse experience in a manufacturing environment.

  • Minimum of three (3) years of experience using inventory management or ERP systems.

  • Ability to read and interpret packing lists, purchase orders, bills of lading, and shipping documentation.

  • Basic computer proficiency, including Microsoft Office applications.

  • Ability to lift up to 50 pounds and stand or walk for extended periods.

  • Ability to obtain and maintain required security clearance.

Preferred Qualifications
  • Strong organizational skills and exceptional attention to detail.

  • Experience working in defense, aerospace, or military manufacturing environments.

  • Familiarity with AS9100, ISO 9001, and military quality standards.

  • Knowledge of ITAR, EAR, and export compliance requirements.

  • Experience administering OSHA Forklift and Crane Operator Certification programs.

  • Experience using barcode scanners and warehouse management systems.

  • Experience with FedEx, UPS, DHL, and freight shipping software.

  • Strong problem-solving skills with a continuous improvement mindset.

  • Excellent communication skills and ability to work collaboratively across departments.

Physical Requirements
  • Ability to stand, walk, bend, and move throughout the workday.

  • Ability to frequently lift, carry, and move materials weighing up to 50 pounds.

  • Frequent use of computers, handheld scanners, forklifts, cranes, and standard warehouse equipment.

  • Ability to communicate effectively in person, by phone, and electronically.

Work Environment
  • Manufacturing and warehouse environment with regular interaction between production, quality, purchasing, and logistics teams.

  • Frequent movement between shipping, receiving, warehouse, and production areas.

  • Moderate to high noise levels typical of a manufacturing facility.
