Job Description

We are seeking an organized, dependable, and articulate Spanish Speaking -Bilingual Operations & Billing Assistant to join our team. While prior experience is a plus, no prior legal or accounting experience is required!

In this entry-level role, you will support our firm's daily operations. You will communicate with our Spanish-speaking clients regarding account balances, handle outgoing bill payments, and serve as the main point of contact for our office vendors (IT, phones, equipment leases). If you are tech-savvy, great with details, and comfortable making phone calls, our team will fully train you on our systems and software.

Compensation:

$41,600 - $46,000 yearly


Responsibilities:

Accounts Receivable & Client Collections:

  • Contact clients via phone and email in both Spanish and English to answer billing questions, collect outstanding payments, and record payment plans.

  • Send out monthly client invoices and payment reminders using our firm management software (Clio).

  • Review Accounts Receivable with the manager and keep track of communications in Clio.

Accounts Payable & Expense Tracking:

  • Process and pay firm utility bills, office invoices, and vendor fees on time.

  • Keep receipts and expense records organized for office reporting.

Vendor Management & Office Operations:

  • Serve as the main point of contact for office technology and equipment vendors (IT support, phone systems, copiers/printers, building management).

  • Help coordinate routine service or technical support when office equipment needs maintenance.

  • Keep track of office supplies and lease schedules to ensure our workplace remains fully operational.

Legal Support & File Management:

  • Help set up files and manage files.

  • Phone coverage.

  • Witness for Will signings.


Qualifications:
  • Language: Professional fluency in Spanish and English is required (essential for client calls and account follow-ups).

  • Experience: We will train you on all software, procedures, and firm manuals. (Experience in customer service, retail, office administration, or call centers is a plus).

  • Skills: Comfort making direct phone calls; strong basic math and spreadsheet skills; familiarity with Google Workplace, Microsoft Office (Word, Excel), and Clio (or other file management software).

  • Traits: A confident, polite phone voice; strong personal integrity; high attention to detail; a desire to learn and grow within a supportive team environment.
