HR Information Support Specialist

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a HR Information Support Specialist based in the United States.

This role provides operational, technical, and administrative support for enterprise HR information and knowledge management.
You will help ensure policies, procedures, forms, knowledge articles, and other HR content remain accurate, accessible, consistent, and compliant.
The position combines content governance, policy lifecycle administration, SharePoint management, reporting, and workflow coordination.
You will collaborate with HR Centers of Excellence, Business HR teams, policy owners, and subject matter experts across multiple functions.
Your work will directly improve how employees find, understand, and use critical HR information.

Accountabilities
  • Support enterprise HR information governance and content management initiatives, maintaining inventories, trackers, status reports, and project documentation.
  • Review HR information assets for compliance with governance, metadata, formatting, retention, and content standards.
  • Conduct document comparisons, identify outdated, duplicated, conflicting, or inconsistent information, and coordinate updates with content owners.
  • Support content migration, cleanup, archival, repository maintenance, ownership tracking, and scheduled reviews.
  • Coordinate policy review, approval, publication, and maintenance workflows while monitoring deadlines and lifecycle requirements.
  • Assist policy owners with document updates and ensure policies follow established templates, formatting, metadata, tone, and content standards.
  • Maintain policy lifecycle records, version histories, and supporting documentation for audits and governance activities.
  • Create, edit, format, and publish HR knowledge articles in collaboration with subject matter experts.
  • Support knowledge article approval and review workflows, identify content gaps, and maintain knowledge repositories.
  • Assist with SharePoint Online administration, including pages, document libraries, navigation, content organization, metadata, taxonomy, and information architecture.
  • Support content publishing, page updates, user assistance, search optimization, and ongoing quality monitoring across SharePoint repositories.
  • Work with Microsoft 365, ServiceNow Knowledge Management, and related workflow and content management
Requirements
  • Bachelor’s degree in Human Resources, Business Administration, Communications, Information Management, Knowledge Management, or a related field, combined with typically 3+ years of relevant experience.
  • Relevant experience in content management, knowledge management, policy administration, SharePoint administration, information management, or a comparable discipline.
  • Experience creating, editing, proofreading, formatting, and maintaining professional business documentation.
  • Experience coordinating document review and approval workflows, including version control and lifecycle tracking.
  • Hands-on experience with SharePoint Online and Microsoft 365 applications, including Teams, Word, Excel, PowerPoint, Outlook, and Microsoft Lists.
  • Strong understanding of content management practices such as policy lifecycle administration, knowledge article development, document management, metadata management, content quality review, and version control.
  • Experience with ServiceNow Knowledge Management is preferred.
  • Familiarity with Power Automate, Power BI, Microsoft Lists, or similar workflow, reporting, and automation tools is an advantage.
  • Working knowledge of content governance, taxonomy, metadata, information architecture, and document retention concepts.
  • Experience supporting enterprise-level content, knowledge, or information management programs is preferred.
  • Strong technical and business writing, editing, proofreading, and documentation skills.
  • Excellent verbal and written communication skills, with the ability to work effectively with technical and non-technical stakeholders.
  • Strong organizational and project coordination skills, with the ability to manage multiple priorities and deadlines simultaneously.
  • Analytical and reporting capabilities, including the ability to create and maintain meaningful metrics and status reporting.
  • Strong attention to detail and a commitment to accuracy, consistency, compliance, and quality.
  • Ability to collaborate effectively across HR functions and build productive relationships with subject matter experts and content owners.

  • Salary range of $72,000–$90,000 per year, with actual compensation determined by factors such as experience, education, skills, responsibilities, market conditions, and internal equity.
