Job Description
AMECO is seeking a highly organized and detail-oriented Operations Support professional to provide critical administrative and operational support for project activities. This position is responsible for managing invoicing and payment processes, maintaining project records and documentation, supporting rental equipment administration, and ensuring the accuracy and accessibility of project-related information.
The ideal candidate will possess strong analytical, organizational, and communication skills with the ability to manage multiple priorities in a fast-paced environment. This role serves as a key liaison between operations, accounting, vendors, and project teams to support financial accuracy, operational efficiency, and effective project execution.
Key Responsibilities:
- Process vouchering, invoicing, and payment activities in accordance with company procedures and customer requirements.
- Review, analyze, and validate invoices, purchase orders, and supporting documentation to ensure accuracy and compliance.
- Manage and maintain project flat files, billing documentation, and other critical project records.
- Monitor third-party rental equipment utilization and coordinate activities to ensure rental charges are discontinued promptly when equipment is removed from service.
- Investigate, reconcile, and resolve billing discrepancies, payment issues, and documentation exceptions.
- Maintain and update centralized records for purchase orders, invoices, contracts, and project documentation, ensuring information is accurate and readily accessible.
- Support overall contract administration activities, including document management, record retention, compliance support, and reporting requirements.
- Develop and maintain tracking tools, reports, and workflows supporting invoicing, equipment rentals, and project support activities.
- Coordinate activities with operations, accounting, procurement, vendors, and project teams to ensure alignment of project documentation and financial records.
- Identify and recommend process improvements that enhance operational efficiency, financial accuracy, and cost management.
- Serve as a subject matter expert for assigned operational support processes and systems.
- Organize and prioritize multiple assignments while meeting deadlines and service expectations.
- Maintain compliance with all applicable policies, procedures, and company standards.
- Adhere to and support AMECO's Health, Safety & Environmental (HSE) and Sustainability Policies.
- Perform all other duties as assigned.
Education Requirements: Accredited four (4) year degree or global equivalent in Business Administration, Accounting, Finance, Project Management, or related field and six (6) years of related experience
Equivalent combinations of education and relevant experience may be considered.
Minimum Qualifications:
- Minimum of six to eight years of experience in project support, operations support, contract administration, accounts payable, invoicing, accounting support, or related administrative functions.
- Demonstrated experience managing complex operational, financial, administrative, or project support processes with minimal supervision.
- Strong analytical and problem-solving skills with the ability to independently evaluate information and recommend solutions.
- Ability to communicate effectively with management, coworkers, clients, vendors, contractors, and visitors.
- Advanced knowledge of business operations, financial processes, and administrative controls.
- Strong organizational and time-management skills with exceptional attention to detail.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Ability to learn and apply applicable local, state/province, and federal/national statutes and guidelines.
- Ability to attend to detail and work in a time-conscious and time-effective manner.
- Advanced proficiency with Microsoft Office applications, particularly Excel, Word, Outlook, and reporting tools.
Certifications, Licenses, Registration: No specific certifications required. Contract management or project administration certifications are a plus.
Supervisory Responsibilities: This position has no direct supervisory responsibilities.

- Generally favorable indoor office workspace, and/or;
- Role involves working alone and collaborating as part of a team. Often required to work at a fast pace to meet deadlines, thus some stress may occur.
- Occasionally the performance of this position will require exposure to production/manufacturing areas, which may result in being near moving mechanical parts or being exposed to fumes or airborne particles. These respective areas will require the use of personal protective equipment, such as safety glasses, hearing protection or hard hats. The noise level in the production/manufacturing areas is usually loud.
Travel Requirements: Limited travel may be required for project support, business meetings, training, or site visits. Occasional after-hours support may be required based on operational needs.
