Recruiting Operations Coordinator

This position is listed on behalf of a partner company, who manages all applications and next steps. Our partner is looking for a Recruiting Operations Coordinator based in United States.

This role offers an opportunity to become a key contributor to a high-performing recruiting function by ensuring smooth, efficient, and organized hiring operations.
You will support candidate pipeline management, interview coordination, reporting, and onboarding activities across a growing organization.

Accountabilities:

The Recruiting Operations Coordinator will provide operational support across the recruiting lifecycle, ensuring accurate processes, strong candidate engagement, and effective collaboration between recruiting teams and internal stakeholders.

  • Provide project coordination and administrative support for recruiting programs and initiatives.
  • Manage candidate pipelines within applicant tracking systems and workflow management platforms, ensuring accurate updates and timely progression.
  • Track candidate stages, maintain recruiting records, and support data accuracy across multiple systems.
  • Assist with CRM management, referral tracking, recruiting documentation, and operational reporting.
  • Coordinate interviews across different time zones, manage scheduling logistics, and ensure a smooth experience for candidates and stakeholders.
  • Prepare candidate materials, meeting documents, and updates for recruiting discussions and leadership reviews.
  • Maintain organized candidate files, assessments, onboarding documentation, and confidential information.
  • Respond to candidate questions and provide timely communication throughout the hiring process.
  • Support onboarding activities for new hires, including documentation, first 90-day planning, and coordination with internal teams.
  • Monitor recruiting performance metrics, sourcing channels, and pipeline activity to support leadership reporting.
  • Identify opportunities to improve recruiting workflows, processes, and overall operational efficiency.
Requirements:

The ideal candidate is an organized and proactive professional with experience supporting recruiting, human resources, or operational processes. Success in this role requires strong attention to detail, excellent communication skills, and the ability to manage multiple priorities in a fast-paced environment.

  • High school diploma or equivalent required; associate’s or bachelor’s degree preferred.
  • Previous experience in recruiting coordination, HR support, talent operations, or administrative project coordination preferred.
  • Strong organizational skills with the ability to manage multiple projects, deadlines, and competing priorities.
  • Excellent written and verbal communication skills with a professional approach when interacting with candidates and stakeholders.
  • Experience using applicant tracking systems (ATS), CRM tools, or recruiting platforms.
  • Proficiency with Microsoft Office and familiarity with digital collaboration tools.
  • Strong attention to detail and commitment to maintaining accurate data and documentation.
  • Ability to handle confidential candidate and employee information with discretion.
  • Strong follow-through, accountability, and problem-solving skills.
  • Comfortable working independently while collaborating with teams across different functions.
  • Demonstrated ability to build positive working relationships and communicate effectively.
