Quail West Golf & Country Club is looking for a Membership and Communications Coordinator to be the first point of contact for our members and guests.

Quail West is a leading private golf and country club that prides itself on providing world-class facilities for Members and their guests and an extraordinary and inclusive, yet unpretentious lifestyle. One of Southwest Florida’s most welcoming clubs, Quail West’s courses, facilities and services are shared by a limited number of members to enhance the quality of the member experience.

Summary: Provide five-star concierge type services for Members, Residents, and their Guests at Quail West Golf and Country Club. As part of the Membership and Communications team, this position supports the Membership & Lifestyle Director, Member Services Manager, and Member Communications & Engagement Director in enhancing member experiences through personalized service, event support, and communication initiatives. The Membership and Communications Coordinator proactively anticipates the needs of Members, offering solutions before they are requested and personalizing service to meet individual preferences. This role ensures Members are informed of scheduled events, activities, and important updates while also protecting them from unnecessary or unwanted demands. Some holiday work may be required.

  • This is an Hourly Full-Time position
  • Schedule/Shifts: Tuesday-Saturday 8:30am - 5:30pm
  • Pay rate: $22-$24/hr

Member Services & Concierge Responsibilities:

  • Serve as a primary point of contact for Members and guests, delivering personalized five-star service experiences.
  • Assist Members with dining reservations, appointment scheduling, reciprocal club arrangements, local recommendations, and other concierge-related requests.
  • Build strong relationships with Members by recognizing names, preferences, and anticipating needs proactively.
  • Maintain a warm, approachable, and professional presence while greeting and assisting Members and guests throughout the Club.
  • Handle Member questions, concerns, and service recovery situations promptly and professionally.
  • Remain knowledgeable about Club events, amenities, dining offerings, and local attractions to better assist Members.
  • Assist with dining, event, and room reservations while coordinating with appropriate departments as needed.
  • Support daily front desk and membership operations including package handling, room schedules, and access control services. Ensure the daily room schedule is prepared accurately and circulated to management in a timely manner.

Communications & Member Engagement Support:

  • Assist the Member Communications & Engagement Director with member communication initiatives and engagement efforts.
  • Support the creation and scheduling of social media content for Instagram, Facebook, LinkedIn, and other platforms.
  • Assist with creating and/or updating event flyers, promotional materials, and digital signage to support Club programming and events.
  • Provide video production assistance, including filming, editing, and content coordination, as required.
  • Help ensure Members remain informed of upcoming events, activities, and Club updates through various communication channels.
  • Provide event support and assist with member-facing communications projects as needed.
Requirements:

Essential Duties and Responsibilities:

  • Provide the Member with an experience that will always be remembered and with the highest level of responsiveness.
  • Provide personal member services of the highest level that may include, but not limited to, restaurant reservations, appointment scheduling, recommendations, and promotion of available Concierge services. Make available literature, and other helpful materials on request.
  • Project an approachable and professional image in personal appearance, manner, and demeanor always.
  • Maintain a work environment of cleanliness and organization.
  • Assure prompt and positive action on all Member complaints, questions, concerns, and suggestions, forwarding to the relevant Department Director as necessary.
  • Acknowledge and greet all Members and guests with utmost courtesy and urgency, moving out from behind the front desk to open doors and assist Members when possible. Recognize and use member names consistently.
  • Seek Manager/Department Director input when needed.
  • Maintain consistent presence at workstation and advise Manager if temporary coverage is needed.
  • Use professional telephone etiquette at all times delivered in a friendly and welcoming manner. Learn phone extensions for departments and managers throughout the Club.
  • Be consistently knowledgeable about Club events and of local current attractions or events (reciprocal clubs, Beach Club, concerts, theater, sporting events, special events, and more.)
  • Provide Club access control services and remain vigilant of non-members and their purpose for being on property.
  • Ensure the daily room schedule is prepared accurately and circulated to management in a timely manner.

Knowledge, Skills, and Abilities:

Computer: Ability to proficiently use Microsoft office, (Word, Excel, and Outlook) and Canva.

Language: Ability to read, write and comprehend correspondence, memos, and communicate effectively.

Mathematics: Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions, and decimals. Ability to compute rates, ratios, and percentages.

Reasoning: Ability to apply common sense and understanding to carry out instructions furnished in written, oral or diagram form.

  • Ability to perform basic math skills such as addition, subtraction, multiplication, and division.

  • Ability to be detail-oriented while maintaining thorough follow-through.
  • Ability to multi-task and to work well under pressure.
  • Requires professional demeanor with ability to use independent judgment to handle any customer services matters in satisfactory manner.
  • Proficiency with electronic resources such as Internet search, Publisher, Outlook and Word. Ability to learn Club administration systems.
  • Possess a valid state issued driver’s license with a clean driving record.
  • Ability to stand, walk, sit, talk, and use phone. Ability to lift up to 20 pounds. Requires the use of close and distance vision.

Qualifications:

  • Prefer two years prior hospitality experience. Some higher education or vocational training specializing in the hospitality industry is desired.
  • Good geographic knowledge of the surrounding area.
  • Familiarity with design software (such as Canva or InDesign) is a bonus.
  • Maintain a professional and polished appearance.
  • Have flexibility to work different shifts including holidays and weekends.

Physical Demands and Work Environment:

  • Frequent interruptions or loud noises may occur.
  • Must be able to reach, bend, stoop, stand and lift up to 20 pounds.
  • Must be able to sit for prolonged periods of time.
