Job Description

The Fuel Logistics Coordinator is responsible for overseeing the daily logistics, dispatch, and transportation operations of a fuel delivery fleet. This position serves as the central communication hub between drivers, customers, fuel terminals, suppliers, and company leadership to ensure safe, efficient, and profitable operations.

In addition to dispatching and route planning, the Fuel Logistics Coordinator is responsible for driver management, performance monitoring, regulatory compliance, customer service, inventory coordination, and operational problem-solving in a fast-paced 24/7 environment.

Key Responsibilities

Logistics & Dispatch Operations

Coordinate and dispatch fuel deliveries to commercial and retail customers.
Optimize routes and delivery schedules to maximize efficiency while minimizing operating costs and service delays.
Monitor real-time fleet activity using GPS and transportation management systems.
Respond to route disruptions, traffic incidents, weather events, terminal delays, equipment failures, and customer emergencies.
Maintain continuous operational awareness of fleet status, delivery progress, and customer requirements.
Driver Management & Leadership

Serve as the primary point of contact for all drivers during assigned shifts.
Assist with driver planning, shift coverage, and call-offs.
Investigate customer complaints, delivery issues, and driver-related incidents.
Work closely with management to address performance concerns and implement corrective actions when necessary.
Promote a culture of safety, accountability, and professionalism.
Compliance & Safety

Monitor driver Hours of Service (HOS) compliance and ensure adherence to DOT regulations.
Verify completion of required inspections, logs, and regulatory documentation.
Coordinate responses to vehicle breakdowns, accidents, spills, and safety incidents.
Ensure compliance with company safety policies, environmental regulations, and customer site requirements.
Participate in safety meetings, investigations, and corrective action planning.
Customer Service & Account Management

Build and maintain strong relationships with customers through proactive communication and problem resolution.
Coordinate special delivery requests.
Communicate delivery updates, delays, and operational changes to customers.
Collaborate with sales and account management teams to ensure service expectations are met.
Inventory & Supply Coordination

Monitor customer tank levels and forecast delivery requirements.
Coordinate product availability with suppliers and fuel terminals.
Assist in inventory planning to prevent runouts and service interruptions.
Track fuel allocations and terminal loading activity.
Reporting & Administrative Duties

Maintain accurate operational records and dispatch documentation.
Analyze fleet utilization, delivery efficiency, driver productivity, and customer service metrics.
Identify opportunities for process improvements and cost reduction.
Support management with operational planning and strategic initiatives.

Required Qualifications

High school diploma or equivalent.
Minimum 2 years of dispatch, logistics, transportation, or fuel industry experience.
Strong understanding of transportation operations and routing principles.
Excellent verbal and written communication skills.
Strong organizational and multitasking abilities.
Proficiency with Microsoft Office and dispatch software.
Preferred Qualifications

Experience in petroleum, fuel, or hazardous materials transportation.
Knowledge of DOT regulations, FMCSA requirements, and Hours of Service compliance.
Experience with GPS fleet tracking and transportation management systems.

Require 12 hour shifts, weekends, and holidays.
