Job Description

Position Summary:

The HVAC Estimator is responsible for developing accurate and competitive estimates for HVAC installation, replacement, repair, and remodeling projects. This position reviews project plans, specifications, and existing site conditions to determine labor, equipment, materials, and subcontractor costs. The HVAC Estimator works closely with clients, project managers, technicians, vendors, and subcontractors to clarify project requirements, obtain pricing, and prepare professional proposals and bid packages. The ideal candidate has strong knowledge of HVAC systems and installation practices, excellent attention to detail, and the ability to manage multiple estimates while meeting deadlines.

Key Duties and Responsibilities:

Review HVAC project scopes, drawings, specifications, and site conditions to prepare detailed and accurate cost estimates
    Conduct on-site visits to assess existing HVAC systems, gather measurements, and document project requirementsCollaborate with clients, project managers, subcontractors, vendors, and suppliers to clarify scope and obtain accurate pricingDevelop and submit written HVAC estimates, proposals, and bid packages in a timely mannerMaintain up-to-date knowledge of HVAC equipment, materials, labor, and installation pricing for accurate cost forecastingAnalyze mechanical plans, HVAC drawings, specifications, and other project documentation to prepare equipment, time, labor, and material estimatesEstimate HVAC installation, replacement, repair, and remodeling projects, including equipment, ductwork, piping, controls, and related materialsIdentify project requirements and potential scope gaps, exclusions, and additional costsUpdate estimate templates, HVAC cost databases, equipment pricing, and historical project pricing recordsAttend pre-bid meetings, client walkthroughs, site visits, and project hand-off meetings as neededTrack and follow up on submitted estimates and support sales and/or production teams in closing HVAC projectsCoordinate with suppliers and subcontractors to verify equipment availability, lead times, and current pricing

Education & Experience:

    High school diploma or equivalent required; degree or technical training in HVAC, Construction Management, Mechanical Engineering, or a related field preferred3+ years of experience in HVAC estimating, preferably in residential, remodeling, replacement, or light commercial constructionStrong knowledge of HVAC systems, equipment, installation methods, ductwork, piping, controls, and related materialsWorking knowledge of applicable mechanical codes, building codes, and HVAC industry standardsAbility to read and interpret HVAC/mechanical drawings, plans, specifications, and equipment schedulesUnderstanding of HVAC load requirements, equipment sizing, and system applications preferredProficiency in Microsoft Office, particularly Word and Excel; experience with HVAC estimating or construction estimating software preferredStrong mathematical, analytical, organizational, and communication skillsValid driver's license and reliable transportation for job-site visits

Physical Demands & Work Environment:

Combination of office and field work and must be comfortable visiting active job sites and client homes Fast-paced environment requiring coordination across sales, production, and operations teamsMay involve occasional evening or weekend appointments depending on client availability Exposure to construction related conditions during site visits
